As part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University has an immediate opening for a qualified, highly energetic, and ambitious professional to work as the Manager of Constituent Relations and Operations. This applicant must be comfortable in social situations, including the ability to personally engage with constituents. This position supports the Office of Institutional Advancement’s goal to secure significant financial resources to support the university’s goals and strategic plan. Reporting to the Executive Director of Advancement Relations, the Manager of Constituent Relations and Operations will work in tandem with the Office Manager and Administrative Assistant to manage Advancement’s fundraising events, operational activities, and will assist to manage the day-to-day office activities supporting the Vice President of Institutional Advancement. The Manager of Constituent Relations and Operations will work in close collaboration with many internal campus partners including the Office of the President, Office of Marketing Communications, and others.   Essential Duties and Responsibilities:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Must provide external and outward-facing efforts to recruit and drive (or “sell”) attendees to Advancement events, which includes:
  • Ensuring the Office of Institutional Advancement meets goals by ensuring attendance to events, including the generation of targeted audience lists (working with the Advancement Operations team), communications with attendees – pre- and post-event, and tracking RSVPs.
  • Prepare and provide post-event evaluations for all advancement events.
  • Creating seating arrangement and table assignments, including day-of-event activities such as check-in management, nametags, or any volunteer or intern efforts managed by the Office of Institutional Advancement.
  • Update Advancement event webpages with logistic and registration details.
  • With the approval of University Marketing and Communications, work with the Executive Director of Advancement Relations to manage invitations, programs, and other print or digitally designed pieces, social media, video assets
  • Maintain process documentation for the execution of annual/recurring events including timelines, identified outcomes, suggestions for future events, etc.
  • Serve as the internal lead (attendees, seating, sponsors, communications, etc.) on signature advancement events. This may include Advancement events with Ancilla College or Saint Joseph’s College.
  • Ensure all advancement events focus appropriately on department goals and existing fundraising strategy in terms of defined purpose, measured outcomes, and follow-up.
  • Support the Executive Director of Advancement Relations to track all expenditures and ensure adherence to event budgets.
  • Monitor and prepare reports on revenue and expenditures on each event ensuring sound financial decisions to achieve fundraising goals.
  • Work with Executive Director of University Events and Engagement as needed
  • Work with the Advancement Operations team to develop online forms (Online Express, Raisers Edge NXT, etc.) and to help maintain accurate and consistent database information.
  • Work in Raiser’s Edge NXT and Events Module (web and database view). May include generating queries, exports for a variety of data and reports.
  • Secondary support to manage ThankView, a video delivery platform for constituent and stakeholder messaging.
Required Qualifications:
  • To be successful in this role the ideal candidate must have a bachelor’s degree with special events and management experience.
  • Higher or secondary education experience preferred with a commitment to the mission of Marian University.
  • Commitment to collegiality and collaborative decision-making.
  • Exceptional interpersonal and communication skills using verbal, written, and electronic mediums.
  • Ability to work both independently and in a team environment.
  • Conform to shifting priorities, demands, and timelines through analytical and problem-solving skills.
  • Effectively prioritize and execute tasks in a high pressure environment.
  • Must be highly detail oriented and have an proficient skills in all Microsoft Office programs.
  • Experience with the Raiser’s Edge NXT database preferred.
