Business Project Coordinator

The Business Project Coordinator in the Office of Annual Giving (OAG) at Johns Hopkins University reports to the Director of Annual Giving and Digital Strategy.

This role is responsible for supporting the day-to-day execution of direct response marketing campaigns for the Office of Annual Giving. The position will work closely with the internal marketing/operations team, the client-facing liaison team, and external vendors to manage a timely solicitation calendar. This work entails the trafficking and management of the approval process for all marketing materials. This position will essentially own the internal project management system, understanding and tracking all aspects of a given project, and being responsible for the tactical direct response execution of 100+ highly complex marketing campaigns and 500+ segments per year.

The Office of Annual Giving is a growing team that currently consists of fifteen colleagues who provide annual giving services to the nine schools of the university, various departments of Johns Hopkins Medicine, and several centers and institutes, totaling over 25 partners. These annual giving services include developing comprehensive and integrated direct response solicitation strategies that are optimal for each unit.

Specific duties & responsibilities

  • Responsible for day-to-day tactical execution of direct marketing campaigns including but not limited to direct mail and digital
  • Be the primary lead for all print vendor communication including day-to-day project management, ensuring campaigns stay on schedule, inventory oversight, project close-out, and more
  • Traffic projects between the liaison team, creative and external partners for the purpose of collecting project collateral and proper approvals
  • Own an up-to-date project management system that displays project status This system will need to be continuously consulted for the purpose of prioritizations, audience overlaps, and more
  • Troubleshoot any issues or delays that may arise for a given campaign and alert manager
  • Assume responsibility for basic administrative duties for each project
  • Coordinate and work on multiple projects simultaneously
  • Understand and collect project specifications from the liaison team and accurately communicate those specifications to the marketing team and external partners
  • Attention to detail is critical to ensure all work completes the standard approval process before being greenlighted for final production
  • Keep manager aware of project status on a bi-weekly basis
  • Attend meetings as directed by manager
  • Assist in any other project assignments as needed

Qualifications

    Bachelor’s degree. Three years of progressive experience with direct response marketing – preferably within higher-ed/marketing agencies and experience with project management systems like ASANA or similar platform.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications & Special Knowledge, Skills, and Abilities

    A Project Management Professional certificate
    Comfortable working in a complex, multi-divisional, results-oriented environment Demonstrated success in project management when overseeing multiple priorities Ability to establish priorities, set objectives, and achieve goals Strong sense of urgency, and experience in a fast-paced, deadline-driven environment
  • Some experience in account coordination preferred
  • Strong verbal and written communication skills
  • Knowledge of direct mail strategies and production execution
