Job Summary:

This position is responsible for the coordination of the accounts payable and purchasing functions for the Administration and Facilities areas of the Wisconsin Union, as well as other assigned departments, under the general supervision of the Accounts Payable Supervisor. Responsibilities include being a purchasing card Approver, e-reimbursement Auditor, and ShopUW+ purchasing requisitions Requester. This position also enters invoices and other expense transactions into the Union's Great Plains accounting software, along with acting as a resource to assigned departments regarding UW and Union purchasing policies and procedures.

Position is on site during probation period. After probation period, partial remote and partial on site is available, with supervisors permission

Responsibilities:

Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.
  • 5% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 20% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 40% Audits or reconciles original purchase documents with payments
  • 20% Reallocates expenses to appropriate funding strings
  • 5% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 5% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures

*Minimum 1 year accounting/bookkeeping experience - Required
*Proficient in Microsoft Office - Required
-Experience with Accounts Payable - Preferred
-Experience with ShopUW+/UW Purchasing process- Preferred
-Experience with UW Departments Cards/Purchasing Cards Site Manager/Approver- Preferred
-Experience with UW Expense Reimbursements- Preferred
-Experience with Great Plains- Preferred

Additional Information:

The Wisconsin Union operates two buildings on the UW-Madison campus. The Wisconsin Union is a financially self-supporting division of the University of Wisconsin-Madison. Financial support for the organization is provided by income earned by twenty-two food service units and a variety of nonfood units such as games, guest rooms, space rentals and campus vending. Substantial support is also provided by student fees. The total annual organizational budget is approximately $45 million dollars.

The Wisconsin Union is part of Student Affairs at the University of Wisconsin-Madison, led by the
vice chancellor for student affairs. Our staff is dedicated to serving students and to helping them
succeed in and out of the classroom in areas including health and well-being, identity and inclusion, leadership and engagement, and student advocacy.
