Chief Objective of Position

The chief objectives of the Assistant Director (AD) are to assist faculty in proposal development, facilitate submission of proposals, and support award negotiation and establishment. The AD also provides administrative support to the Insitutional Review Board. In addition, the AD works to implement the agenda set by the Director and works collaboratively to render the Office and the University compliant with state and federal regulations and institutional policies. The AD acts for the Director in their absence.

Work Tasks

  • Provides technical expertise to faculty members in identification of funding opportunities, preparation of quality proposals including budgets, and review of sponsor program announcements and guidelines (i.e., OMB, State and University policies/guidelines, etc.)
  • Guides general activities of grant compliance, tracking effort certifications and Responsible Conduct of Research training, Financial Conflict of Interest confirmation.
  • Utilization of multiple electronic federal and nonprofit submission systems to include the creation of user ids, new proposal packets, updating proposals as needed or required by Sponsor, and submitting for extensions, re-budget requests, and supplements.
  • Performs award administration of grants and contracts awarded from federal, state, and local government and private funding agencies, creation and administration of CNU internal documents and other notices.
  • Partners with the Director to revise, refine, and create departmental or University processes and streamline the office functions to be efficient, compliant, and service-oriented.
  • Acts as a liaison with CNU’s business office to approve specific expenditures in accordance with the CNU, uniform guidance, sponsor guidelines, reasonableness, and allowability.
  • Provides Business Office with necessary cost-sharing information. Provides the effort reporting forms to the Business Office upon request.
  • For all assigned subaward, obtain necessary subrecipient information and initiates subawards obtaining necessary approvals. Acts as liaison between Subawardee and CNU.
  • Produces annual OSP assessment report and assessment plan.
  • Tracks termination dates of grants and issues 30-60-90-day notices to Principal Investigators to ensure that they are on track or if they need a no-cost extension.
  • Serves as liaison/administrative support for the IRB, including managing intake, tracking, and distribution of protocols to committee members, assuring compliance of protocols with all policies (i.e., University, state, and federal regulations), attend meetings, and take minutes as necessary, confirming and tracking training, monitoring IRB database for expiration dates, running reports and notifying supervisors and researchers of any expirations, and aid in external reporting (e.g., FWA).
  • In conjunction with Director, maintains and updates OSP Standard Operating Procedures (SOP) and CNU OSP Handbook.
  • In collaboration with the Director, develops and presents OSP workshops, training and outreach events for faculty, staff and students. Reviews needs of the University to determine if new workshops and/or training are needed.
  • Develops and maintains positive and professional customer service and/or relations within the office/department and with all constituencies to include students, faculty, staff, guests, and employees. Demonstrates a positive and professional attitude and treats everyone with dignity and respect. Fully supports the “Student’s First” value at CNU and routinely goes the extra mile in providing service.
  • This position is designated as a “responsible employee” who has the authority to redress sexual violence, who has the duty to report incidents of sexual violence or other student misconduct, or who a student could reasonably believe has this authority or duty.
  • Reviews and communicates safety issues to assure a safe and healthy workplace and a reduction in work related absence.

Knowledge, Skills, Abilities (KSA's) required

  • Ability to interpret and implement new regulations from different sponsoring agencies.
  • Ability to utilize new submission portals and protocols.
  • Editing and budgeting background with ability to interpret sponsor guidelines for compliant proposal submission.
  • Strong oral and written communication skills.
  • Ability to manage multiple priorities.
  • Ability to create content and present training/ workshops relevant to the department.

Knowledge, Skills, Abilities (KSA's) preferred

  • Recognize potential partnerships or collaborations between faculty, those external to CNU, and other institutions or entities.
  • Proficient with Microsoft Office, Cascade, Photoshop, Adobe Acrobat, and Google Suite.
  • The ability to interpret federal, state, and institutional guidelines.

Required Education

Must have a Master’s Degree in a related field; or a Bachelor’s Degree in a related field and work experience at a level which equates to an advanced degree, at time of start date.

Preferred Education

  • Research Administrators Certification Council’s (RACC’s) Certified Research Administrator (CRA).
  • Courses in business, public administration, science, accounting, computer science/programming, or higher education administration.

Experience Required

  • Experience with spreadsheet software and budgeting.
  • Experience reviewing/editing documents and creating fiscal narratives.
  • Experience assisting with event planning and working within purchasing and budget process.

Experience Preferred

  • Microsoft Office Suite with emphasis on excel, adobe, editing, and budgeting.
  • Proposal creation, higher education, research budgets and experience working with Federal agencies.
  • Experience in accounting or financial operating processes in a college / university environment.
  • Proposal Development.
  • Contracting and grant experience.
  • Research Compliance experience.
