CONTEXT OF THE JOB:

Under the general direction of the Assistant Director for Housing Systems & Assignments, the Housing Applications Coordinator manages the applications process for dozens of processes through web-based interactive technology for a large campus housing system comprised of over 40 residence halls housing nearly 7,000 undergraduate students. The Applications Coordinator manages applications processes for full time undergraduate students and summer assignments for a population of approximately 400 students and visiting scholars. The Housing Applications Coordinator develops, edits, activates, audits, and monitors the application processes for breaks, interim, summer housing, and early/late arrivals and application processes for opportunities such as Resident Assistant and Blue Hen Helpers, while adhering to Residence Life & Housing (RLH) policies and procedures. The Housing Applications Coordinator develops and generates reports and analyzes data in support of housing assignment operations; ensures student satisfaction and compliance with University, state, and federal policies and procedures; supports units who rely upon application processes to serve student and program participants; and monitors application activity. Provides support to the Senior Associate Director with functional responsibility for the StarRez system through process analysis, problem solving, configuration, and reporting. Assists with the set-up of the StarRez system including term period configurations, and space inventory changes. Provides ongoing support to in-hall staff.

This position will be required to work during opening and closing time frames which typically occur on weekends or during crisis situations. Additionally, there may be time frames when vacation time is restricted.

MAJOR RESPONSIBILITIES
  • Coordinate and manage daily functions, logistics, timelines, applications and required database management related to Interim Housing and Special Session housing processes: includes breaks, early arrival, late stay, summer and winter sessions in the residence halls and other special term applications such as Blue Hen Helpers.
  • Act as the liaison with coordinators of special groups & athletics, generate and track exception lists with in-hall staff, communicate hall access and other special needs to appropriate parties, assists Assistant Director for Business and Housing Operations with billing verification and processing when necessary.
  • Work with Assignments Coordinator on housing assignment needs for relevant processes
  • Coordinate with Student Life Communications and Marketing team to update relevant website content and create/distribute necessary correspondence to students/parents.
  • Update, monitor and run corresponding housing management system (StarRez) reports and lists and perform data analysis and verification needed to support these processes.
  • Update housing portal application content and database configuration related to these processes. Work with Systems Analyst or Assistant Director on needed high level technical updates or large-scale changes. Conduct application testing and implementation. Perform best practices Go-Live checklists.
  • Create documentation materials related to these processes. Develop and distribute details and instructions to staff and assist in staff training regarding these processes. Create post-implementation reports and updates for staff review.
  • Troubleshoot system issues or questions around these processes in coordination with the Assistant Director for Housing Systems & Assignments.
  • Maintain up to date knowledge and competencies of related StarRez module functionality and database structures. Create, update, and download reports in StarRez for analysis as needed to support housing assignments and application processes.
  • Provide support to Assistant Director with data entry, data updating, and portal content accuracy as needed. Assist with setup and testing in Housing Portal for application processes.
  • Assist in the creation and delivery of staff training materials and process documentation related to assignments and housing operations functions.

QUALIFICATIONS:
  • Bachelors degree with two years administrative and customer service experience, or equivalent combination of education and/or experience. Higher education experience preferred.
  • Ability to learn new software features as technologies evolve. Excellent interpersonal and customer service skills.
  • Ability to work independently and to successfully collaborate and work within a large diverse organization.
  • Proficiency in computer applications, analysis methods, and procedures, preferably in a PC, Windows-based operating environment. Proficiency with database and spreadsheet software such as Microsoft Excel.
  • Effective oral and written communication skills.
  • Ability to plan work schedule and work independently.
  • Ability to effectively solve problems displaying good judgment, confidentiality, and consideration of student needs and University policies.
  • Ability to handle confidential information regarding the medical, financial, judicial, and personal issues of students and utilize good judgment in relaying information to parents.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.
