Hollins University is seeking qualified candidates for two (2) full-time administrative assistants. These positions serve as the primary support person for the assigned area to help faculty, staff, and students.

These areas currently have openings:
  • Graduate Programs & Continuing Studies – reports to the Manager of Graduate Services, works 37.5 hours/week year-round, and supervises 1 work-study student. Critical office team member who also provides support to the Vice President for Graduate Programs and Continuing Studies.
  • Library and Music Department – dually reports to the University Librarian and Chair of the Music Department, works 40 hours/week (20 hours for each area) during the academic year and 24 hours/week (shared between each area) during the summer, and supervises approx. 3 work-study students for the Music Department
The assistants are the primary contact for associated departments/offices including foot traffic, phone calls, and general e-mails. They prepare electronic and print communications, maintain department/office and budget records, assist with appointments/schedules and contracts, coordinate meetings and minutes, manage office spaces, take care of equipment and supply needs, help with special events, oversee travel and hotel logistics, and handle internal and external mail. Additionally, the assistants supervise student employees during the academic year including scheduling, training, and evaluating.

The successful applicants must have a high school diploma or equivalent, minimum of two years of relevant experience, and proficiency with Microsoft Office and multifunction printers. Excellent written and verbal communication, customer service, and interpersonal skills are required, as well as excellent organizational, time management, multitasking, detail, and accuracy skills. Candidates must have abilities to work in a fast-paced environment with constant interruptions, to meet deadlines, to work independently and as a team member, and to work effectively with all university constituencies including faculty, staff, students, alumnae/i, and campus guests. Applicants must also be able to occasionally work outside normal business hours in support of department/office activities.

Preferred candidates will have two years of college, previous experience in an administrative support role in higher education, previous experience working in or managing a professional office setting, Ellucian Banner experience, and knowledge of and experience with Hollins University.
