Job Summary

The Publications Production Coordinator, a member of the Publications department at Dumbarton Oaks, will participate in the production processes for scholarly books and digital publications. Supervised by the Director of Publications, the Publications Production Coordinator will also work collaboratively with the Managing Editors. This individual must have excellent organizational skills, and the ability to schedule and manage multiple concurrent projects independently. This position plays a pivotal role for the production of publishing projects, the expansion of digital production, and the growth of institutional publications. This is the perfect position for someone who is interested in expanding their book production experience and skills, such as editorial or design and layout, and who is interested in career in publishing.

Basic Qualifications
  • Bachelor’s degree in the Humanities or related field.
  • Proficiency with Microsoft Office and Adobe Creative Suite.

• Strong attention to detail, organizational skills, and ability to work with minimal supervision within a team environment
• Demonstrated project and time management skills, with proven ability to work on multiple tasks simultaneously and prioritize for project deadlines.
• Strong track record of working collaboratively across teams
• Experience in a publishing or related environment, particularly scholarly publishing
• Experience or training in copyediting, layout, design, or print production
• Proficiency in Latin, Greek, or other European languages welcomed
• Experience with Chicago style guidelines preferred

Position Description
  • Performing cleanup and preparing book manuscript files, reviewing pre-press and printer proofs of book projects, and proofreading digital products.
  • Assisting the managing editors with the transmittal process: assisting with peer review, liaising with authors, gathering and reviewing submissions, checking permissions, and documenting artwork and text files.
  • Reviewing text, images, and permissions to determine readiness for production.
  • Managing the CIP/LOC application process for printed books.
  • Managing the production of reprints: tracking stock reports, preparing reprint schedules, proofreading text, replacing images, updating covers, transmitting to printer, overseeing production.
  • Assisting with digital product production: overseeing vendors, scanning pre-printed books, performing file cleanup and preparation, repurposing files for print-on-demand, eBooks, and other digital production formats, and overseeing the production process.
  • Working with the publications team on publications marketing: planning and creating advertising, planning and preparing displays at institutional events, organizing materials for conference table displays, creating discount order forms, scheduling and shipping materials for display at off-campus conferences.
  • Assisting with administrative duties: monitoring the ecommerce website, monitoring the departmental email, fielding image and text permissions requests, handling complimentary and review copies, creating and trafficking offprints for authors, and closing out completed books.
  • Contributing to the goals of the department by accomplishing related duties as required.
