Job Summary

The Senior Sponsored Research Administrator position reports to the Director of Sponsored Research Administration. This position is responsible for both pre- and post-award management for a subset of faculty in the Harvard Business School. Harvard Business School partners with the Institute for Quantitative Social Science for its sponsored research management. Due to growing demand, we are looking for two Senior Sponsored Research Administrators to join the finance team at the Institute for Quantitative Social Science to support the expanding program for Harvard Business School.

Basic Qualifications

A minimum of 3 years' experience in pre- or post-award management in academic, healthcare, research, or non-profit setting required; a combination of education and experience may be considered.

Additional Qualifications and Skills

Bachelor's degree preferred. Excellent written and verbal communication skills and ability to work effectively in deadline-driven environment required. Must be team player with a strong service-oriented attitude. Must be able to manage multiple and shifting priorities and interact with diverse constituency. Must have demonstrated experience with electronic grant submission systems, and intermediate knowledge of Excel and Word. Demonstrated experience with federal policies and sponsored research regulations. Must exhibit strong analytical, interpersonal, and organizational capabilities and strong financial skills (budgeting, accounting, A/P, A/R, reporting). Must be self-directed, possess ability to use high degree of judgment, work independently with minimal supervision, and handle complex and sensitive confidential information with discretion. Attention to detail and ability to multitask essential. Must possess desire and willingness to assume increasing responsibilities. Familiarity with Harvard financial systems and applications highly preferred.

Position Description

Reporting to the Director of Sponsored Research Administration, the Senior Sponsored Research Administrator (SSRA) is part of an 8-member finance team that performs diverse and complex accounting, financial management, and sponsored research management duties for the Institute for Quantitative Social Science (IQSS) and its various research groups that range across Harvard schools and departments as part of IQSS's status as an Interfaculty Initiative.

This position is responsible for providing pre- and post-award support to Principal Investigators (PIs) within Harvard Business School (HBS) overseeing a portfolio of sponsored (federal and non-federal) and non-sponsored projects. The SSRA is the primary contact for HBS personnel, internal Harvard central and academic offices, and external collaborators for issues related to sponsored research administration.

The job duties are broken down as follows:

Pre-award responsibilities include providing direct support to faculty and administrators by interpreting and advising on funding opportunity announcements and sponsor requirements, proposal preparation, budget development, budget justification, supporting documentation, and required institutional information; shepherding supported proposals through the FAS RAS and OSP proposal review and submission process and collaborating with both offices to resolve any issues; and ensuring compliance with federal regulations and University, FAS, and sponsor policies.

Post-award responsibilities include financial monitoring and analysis through monthly budget and expenditure reconciliations, financial projections, interpreting financial policies and applying best practices to effectively communicate financial reporting to PIs, sponsors, and related University offices; processing budget revisions, no-cost extensions, and amendments; subrecipient monitoring in conjunction with OSP and FAS RAS.

Additional responsibilities include:

Reviews and approves financial transactions, such as reimbursements for travel and corporate card payments, and PCards, and works with IQSS finance team to apply appropriate internal controls. Processes invoice payments in Buy2Pay.

Assists PI with programmatic reporting requirements of the various funding organizations, including progress reports.

Verifies effort/salary allocations to research accounts, including faculty supplemental salary, and coordinates changes to payroll on sponsored awards.

Reviews effort statements to ensure accuracy before release to PI certifiers.

Interprets award terms and conditions and provides guidance to PIs, researchers, and administrators on financial and sponsored research matters including systems, policies and procedures, and compliance.
