Job Description Summary
Performs a variety of specialized and clerical Accounting functions with the focus on Accounts Payable processes. Manages the College’s business credit cards.
Minimum Qualifications
EDUCATION AND EXPERIENCE
One to two years of college credit (30 credit hours equivalent to one year) a combination of education and relevant Accounts Payable education and related experience for a total of four to five years. Experience working in an Accounting Office environment, educational institution preferred. Successfully completed related Accounting, Business and Computer Courses.
KNOWLEDGE, SKILLS, and ABILITIES

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and person contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.

ESSENTIAL DUTIES
- Controls and monitors the use of the College’s business credit cards (P-Cards).
- Reviews the credit card statements and supporting documentation to determine accuracy.
- Ensure required documentation is present and expenditures are consistent with P-Card policy.
- Provide training to P-Card users to ensure that expenditures are consistent with P-Card use policies and that proper receipts are retained and presented by the user upon request.
- Review computer data to ensure accuracy and make necessary corrections.
- Create journal entries to accurately record to appropriate accounts.
- Prepare a variety of recurring accounting-related reports and reconciliations.
- Performs Accounts Payable duties such as, compiling and sorting AP invoices, matches invoices to purchase orders, initiates the vouchering process with appropriate authorization.
- Handles daily cash management and bank treasury functions, including stop payments, cancel issues and handling check fraud claims.
- Manages stale-dated checks.
- Assist Students Accounts with managing and reissuance of Student Checks.
- Transmits the electronic positive pay file to bank.
- Create journal entries to record daily transactions to the appropriate general ledger accounts.
- Performs other accounting related duties as assigned.
- Must be able to work Monday thru Friday, 8:30 a.m. – 4:30 p.m.
- Ability to communicate effectively in spoken and written standard English.
- As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
- A background investigation will be conducted prior to the offer
of employment. A signed authorization for the release of personal
information will be required if selected for an interview.
