Job Summary:

The Department of Gender and Women's Studies (GWS) is seeking an individual with experience in general accounting, financial management, and administrative support. The Financial Specialist II works closely with the Chair of the Department and the Department Administrator as a key member of the GWS Operations Team, allowing for the opportunity for both collaborative and independent work. Team duties include general purchasing, organizational and administrative support for GWS. This position requires a high level of attention to detail and accuracy, and serves as a primary resource relating to reimbursements, payments, and purchasing; with duties including purchasing card management, preparing and processing e-reimbursements, completing direct payments and payment-to-individuals, preparing external requisitions, using Shop@UW+, and working within the Shared Financial System, applying knowledge of UW Madison and Letters and Science policies and procedures to requests.

This position offers a hybrid option if applicants are interested in partial remote work. Responsibilities:

Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.
  • 15% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 5% Creates general reporting for transactions
  • 10% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 10% Audits or reconciles original purchase documents with payments
  • 15% Reallocates expenses to appropriate funding strings
  • 5% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 15% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures
  • 20% Provide administrative support the Chair of the Department, assisting with departmental operations such as facility/office management, file organization, calendar scheduling, and event planning.

Qualifications:

Previous experience in these areas is preferred:
* Minimum of 1 year of experience in general finance/accounting, administration, operations, and/or customer service.

* Knowledge of or ability to learn State, University, and College purchasing rules, policies, and procedures; including travel/reimbursement policies and procedures.
* Knowledge of general accounting practices and principles.
* Proficiency with technology including word processing applications, managing documentation/spreadsheets/data, scheduling via electronic calendar, and communication via a variety of applications including listservs/email.
* Interpersonal communication skills in a customer/client service facing role.

Work Schedule:

Standard hours at GWS are between 8 a.m. to 5 p.m. with some flexibility. Schedule will be set upon hire.
