CONTEXT OF THE JOB:

Under the limited direction of the Assistant Director for Housing Systems & Assignments, the Housing Assignments Coordinator manages the daily operation of all undergraduate room assignments, room changes, cancellations, and customer service activities in a manner that maximizes inventory, student engagement, and student satisfaction while adhering to Residence Life & Housing (RLH) policies and procedures. The Housing Assignments Coordinator manages the Academic Year assignments for full time undergraduate students, including breaks and Winter Session, as well as summer assignments for a population of approximately 400 students and visiting scholars. Using web-based interactive technology (StarRez) for a large campus housing system comprised of over 40 residence halls housing nearly 7,000 undergraduate students, the Housing Assignments Coordinator updates housing database records, executes assignments processes, guild and generates reports and analyzes data in support of housing assignment operations.

This position supports unique assignment programs; advises students, families, and staff on escalated issues related to housing assignments; assists with customer service activities and provides ongoing support to in-hall staff. The Housing Assignments Coordinator provides support to the Senior Associate Director with functional responsibility for the StarRez system and assists with the set-up of the StarRez system as it relates to assignments.

This position will be required to work during opening and closing time frames which typically occur on weekends or during crisis situations. Additionally, there may be time frames when vacation time is restricted.

MAJOR RESPONSIBILITIES:
  • Execute all aspects of the room assignment processes. Implement data tracking, record-keeping and documentation systems related to functional oversight.
  • Maintain up-to-date competencies and knowledge of related StarRez modules and data base structures and residence hall configurations.
  • Assist the Senior Associate Director in completing housing assignments via manual assignment, auto-allocation, and self-selection. Assist with system set-up and assignment communication tasks. Update and utilize reports to navigate and audit the assignment process and implement problem solving strategies to correct discrepancies.
  • Coordinate and complete assignment process for resident ADA needs and unique groups including but not limited to Living Learning Communities, athletes, international students, etc. Consult with various University partner offices (Disability Support Services, Student Services for Athletes, Dean of Students, Center for Disability Studies, etc.) on their student housing needs in compliance with university, state, and federal policies and procedures (American with Disabilities Act, National Collegiate Athletics Associations, etc.).
  • Serve as lead point of contact for housing assignment, room change, and cancellation inquiries. Effectively respond to students, families, and the university community facing complex challenges related to functional oversight that cannot be resolved by front-line staff. Work with hall staff to facilitate problem solving on issues related to the living environment.
  • Execute all aspects of room changes, withdrawals, cancellations, academic dismissals, judicial removals, and deferrals include data management, communication, reports, charges and domino actions through facilities and in-hall staffs.
  • Manage day-to-day room inventory and room audit process with in-hall staff. Provide coordination of student room furnishings and other facility needs with in-hall staff, Facilities, and custodial staff as they relate to assignments.
  • Work with all levels of RLH leadership on problem solving and emergency room changes providing background information and solutions as necessary. Make recommendations concerning changes and improvements to assignment procedures. Assist with phone coverage during high call volume personnel absence periods.
  • Participate in professional development activities and continuously improve capacities.
  • Perform other job-related duties related to evolution and modifications to the StarRez modules and as assigned.

QUALIFICATIONS:
  • Bachelor's degree with two years administrative and customer service experience, or equivalent combination of education and/or experience. Higher education experience preferred.
  • Knowledge of ADA requirements, NCAA regulations, and University policies and procedures.
  • Ability to learn new software features as technologies evolve.
  • Excellent interpersonal and customer service skills.
  • Ability to respond effectively to student and parent concerns and situations, some which may be emotionally charged.
  • Ability to work independently and to successfully collaborate and work within a large diverse organization.
  • Proficiency in computer applications, analysis methods, and procedures, preferably in a PC, Windows-based operating environment. Proficiency with database and spreadsheet software such as Microsoft Excel.
  • Effective oral and written communication skills.
  • Ability to multi-task and prioritize projects while working independently.
  • Ability to effectively solve problems displaying good judgment, confidentiality, and consideration of student needs and University policies.
  • Ability to handle confidential information regarding the medical, financial, judicial, and personal issues of students and utilize good judgment in relaying information to parents.
  • Experience working with an enterprise database system or student housing management software (StarRez) preferred.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.
