Position Summary and Responsibilities
The Administrative Assistant will provide administrative and operational support to the Office of Admission, particularly as related to processing prospective student applications and fielding inquiries from prospective students and their families.Responsibilities:
- Enter information into department databases
- Establish and maintain application files (electronic and paper)
- Provide telephone support
- Organize and package direct mail materials for mailing
- Greet groups of visitors and respond to inquiries
- Prepare letters, mail merges, reports, and/or other documents using Microsoft Office tools
- Maintain supplies and office equipment
- Help coordinate work for student office assistants
- Perform other duties as assigned by the supervisor, Director, and Dean
Qualifications
- Two to four years of administrative support experience and/or training
- Familiarity and comfort with technology and database systems. Must have strong data entry skills and attention to detail
- Quick learner who is able to independently manage multiple tasks on time and with accuracy
- Strong communication, telephone, organizational, and computer skills
- Knowledge of and facility with Microsoft Office programs, including mail merge, creating labels, and posters in Word, and creating and managing spreadsheets in Excel
- Experience and comfort with fielding a high volume of emails, calls, and Windows tasks
- Must have the ability to interact positively and effectively with diverse communities, including all members of the College, alumni, high school administrators, applicants, and parents
- Must have demonstrated abilities to handle confidential information in a discreet manner, to be proactive, to manage multiple priorities, and to maintain a professional demeanor under pressure
