Special Information

This position is posted as Manager, Personalized Learning, which is a working title. The NAU system title for this position is Manager, Financial Aid.

Job Description

This position is part of the Operations and Compliance team within the Office of Scholarships and Financial Aid. The Manager reports to the Assistant Director of Operations and Compliance and serves as liaison to the NAU Personalized Learning program and the Office of Scholarships and Financial Aid. This position oversees the processing of multiple functions within the Personalized Learning program, which include, but are not limited to: Return of Title IV, awarding and disbursing of student aid, FAFSA verification, SAP processing, and other activities performed by the Personalized Learning financial aid team.

Process Management - 40%
  • Oversee daily completion of Personalized Learning processes and reports. Coordinate weekly work schedules to ensure process completion and meet area and department goals. Set team goals as appropriate.
  • Manage non-standard Return of Title IV processing; answer questions from students and advisors, keep processing within federal timeline and coordinate staff to assist during peak times.
  • Utilize several internal and external databases, including PeopleSoft, Moodle, OnBase, Salesforce, COD, NSLDS, etc., to ensure student eligibility for aid including, but not limited to: overwards, Pell Lifetime Eligibility, loans, and Satisfactory Academic Progress.
  • Research federal regulations related to non-standard processing and exhaust all resources available in resolving issues.
  • Analyze financial data on students to determine aid eligibility and make awards within federal, state, private, and/or institutional guidelines.
  • Assist in testing updates and fixes, system updates, and other data processing as needed.

Team Leadership - 20%
  • Assist the Assistant Directory of Operations with day-to-day management of the Personalized Learning Team.
  • Update Personalized Learning forms annually and ensure all communications are reviewed by the OSFA Communications Team regularly.
  • Consult with Business Analysts regarding system modifications, processes, and issues.
  • Prepare new or modified policies for review. Identify areas of non-compliance, research solutions, and present to Assistant Director with recommended course(s) of action.

Personnel Management - 15%
  • Recruit, hire, train, directly supervise, and evaluate up to three full-time staff and up to two student employees.
  • Provide training for the Personalized Learning team of areas of responsibility, new policies, standing procedures, and daily tasks.

Department Leadership - 10%
  • Participate in the department leadership team.
  • Work collaboratively with Personalized Learning and Financial Aid staff to resolve student issues.
  • Identify areas for processing improvements, automation, and simplification.
  • Prepare periodic reports, financial statements and records for management or outside agencies.

Support Department & Division Priorities - 10%
  • Assist staff by providing technical advice, problem solving assistance, help with research, and answers to daily questions.
  • Participate in special projects.
  • Develop and foster a collaborative work environment.
  • May require working and/or traveling nights and weekends for conference and NAU recruitment events.

Other - 5%
  • Perform other duties as assigned.


Minimum Qualifications

  • Undergraduate bachelor's degree.
  • 2-4 years of relevant experience.
  • 1-2 years of management or supervisory experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • Experience working in a financial aid office and administering federal, state, and institutional aid.
  • Demonstrated ability to solve problems and initiate and implement projects independently, efficiently, and effectively.
  • Three years of experience supervising professional staff.
  • Experience in training others.
  • Skill in coordinating projects, evaluating data, and establishing priorities.
  • Demonstrated commitment to diversity and ability to work with a diverse student, staff and faculty population.
  • Demonstrated capacity to adapt to change.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $54.779. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Service Professional (SPF) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System or the Optional Retirement Program; 22 days of vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Service Professionals are hired on a contract basis, renewable each 6 months according to terms of the Conditions of Professional Service. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of employment. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of employment.
