Position Summary:

Responsible for complex accounting, analysis, and reporting, including: treasury and long-term debt & compliance; reconciling assigned funds and accounts; facilitating accounting for pledges; preparing and recording monthly allocations; and maintaining international programs analyses and projections. Supports year-end close and audit schedule preparation including: preparing or reviewing fiscal year close entries; confirmations; lead schedules; variance analysis; and assists in financial report drafts including preparation of charts, graphs, and exhibits. Assists with external surveys, as needed. Manages student staff workload together with the Senior Accounting Analyst. Actively identifies areas for process improvement and automation. Cross-trains with and provides backup support for other Office of Finance team members.

Essential Job Functions and Responsibilities:

Treasury management
  • Reconcile general checking account on a monthly basis
  • Review receipt deposit analysis to support bank reconciliations
  • Prepare Wire and ACH transfers

Gift accounting
  • Prepares monthly OUR gift report reconciliation
  • Reviews and confirms supporting documentation is in place for pledges, prepares unconditional promise audit schedule and related entries, and identifies and compiles information for conditional promise disclosures

Long-term debt
  • Account for long-term debt in accordance with GAAP
  • Prepare and maintain debt covenant calculations and debt service payment schedules, required reconciliations and journal entries
  • Prepare annual and periodic debt compliance reports in accordance with debt and swap covenants
  • Provide accounting and tax filing support related to long-term debt
  • Maintain debt service schedules, required reconciliations, and journal entries
  • Prepare budget variance reports related to debt
  • As needed, assists in drafting materials to support Ad Hoc Bond Committee of the board of trustees.
  • Provide support for issuance of long-term debt, including portfolio analysis as necessary.

Budget Functions

  • Develop, coordinate, and maintain monthly fringe benefit expense allocations, staff compensation redistribution, and budget allocations to cover actual student employment wages across campus
  • Maintain the international programs financial matrix, reflecting program revenues, expenses and margins.
  • Assist with annual budget load process, as well as periodic budget setup requests
  • Coordinate, monitor, and account for Other Sponsored Programs, including budget projections

Other Essential Functions
  • Assist Financial Accounting Manager and Director of Finance with process improvement and automation efforts to streamline processes and procedures office-wide
  • Assist Financial Accounting Manager with journal entry review
  • Backup for project, account and chartfield setups within PeopleSoft, including the maintenance of chart elements, trees, combo edit rules, and other processes within PeopleSoft
    Assign KACE tickets ( service desk tickets) from student queue. Prepare various accounting entries related to KACE requests, forward issues to appropriate Office of Finance members, and communicate with campus as needed for follow-up to the requests
  • Review university annual L&I Surety requirement
  • Prepare select financial surveys
  • Assist in audit and close processes as related to areas of responsibility
  • Other items as assigned

Budget Responsibilities

No direct budget authority exists for this position

  • Requires a bachelor's degree, with accounting or finance major preferred, and significant, increasingly responsible accounting experience, to include an understanding of GAAP related to investments, automated accounting systems/data bases, and reporting. CPA preferred.
  • Requires the ability to work in cooperation with other team members to achieve the university's goals and objectives.
  • Must have superior aptitude for and skill with technology, including learning new technology and using Microsoft Word, Excel (advanced), and other database reporting tools. Experience with PeopleSoft and nVision is a plus.
  • Must have initiative, ownership of projects, ability to meet deadlines, attention to detail, strong analytical skills, excellent communication skills, and be a quick and continuous learner.
  • Ability to juggle multiple tasks simultaneously and respond positively to changing circumstances.
  • Higher education and/or non-profit experience very desirable.
  • Requires a quick and continuous learner with a high degree of curiosity.
  • Ability to respectfully work, communicate and provide leadership within a diverse campus community.
