Staff Vacancy Announcement

Experiential Learning and Career Success (ELCS) invites applications for a Program Manager to join their team. This position is responsible for organizing, strategizing and facilitating both on-campus and virtual recruiting activities and events including: employment/experiential fairs; on-campus employer visits and interview schedules; ELCS: Experiential Learning Awards Ceremony and coordinating those awards. This position is responsible for the management, growth and budget of the Job Location Development Program, a federally funded program that aides currently enrolled students in locating off-campus, part-time, temporary, and seasonal job opportunities regardless of financial need. The Program Manager is responsible for overseeing the ELCS system platform Handshake which includes gathering data, compiling information and preparing reports. This position will also oversee a student worker who will support their work. Depending on need, this student worker will either work as a JLD Advisor or support employer outreach.



Perform employer recruitment and outreach
  • Assist employers with job/internship posting descriptions, fair/event registration and help in creating and managing their employer platform account.
  • Provide information and invites to both prospective and current businesses and employers about fairs and events.
  • Share resources about how we help employers connect with UM students and alumni.
  • Pursue fundraising and employer sponsorships of fairs, awards and other events and focus on excellent customer service (internal and external).
Manage the Job Location Development Program
  • Manages the revenue growth and increased reach of the JLD program and oversees that it is administered according to State and Federal Guidelines,
  • Acts as the public relations liaison between the University of Montana and businesses interested in part-time student employees,
  • Solicits and identifies part-time, seasonal, and temporary job openings from Missoula and surrounding areas,
  • Offers informational classroom visits to students as well as organizations and companies outside of UM about JLD,
  • Supports and advises UM students seeking part-time positions,
  • Creates and maintains a record-keeping system in accordance with Federal guidelines,
  • Creates and maintains a record of student employment locations, hours, wages, and employment dates,
  • Provides Experiential Learning and Career Success and the Financial Aid Director with specific data necessary for completion of the University’s annual financial aid report,
  • Oversees and participates in programming to educate both students and employers about the JLD Program.
Manage the operations and processes of our Handshake platform
  • Provides technical education and assistance to employers, students/alumni, faculty, and staff in their use of Handshake.
  • Oversee computer system data integrity of Handshake.
  • Develop, enhance and/or maintain processes to ensure data is useful and current; analyze current requirements and processes for populating the database.
  • Approve/oversee approvals of all new employers and employer contacts and all new opportunities (i.e., jobs, internships, volunteer, etc.)
  • Design, create, change (as needed) forms, lists, and reports needed/requested by staff, faculty and administration
  • Create a timeline for reports
  • Run routine reports for students, alumni, employers, staff, faculty, and departments
  • Oversee and create policies/procedures to protect students’ and others’ information who use Handshake. In addition, set up policies to hold employers accountable in their interactions with students.
  • Act as a liaison with Handshake tech support for questions, improvements, and enhancements for databases.
  • Report and follow up on system “bugs” with appropriate system administrators. Follow up on unresolved issues.
  • Act as a liaison between office and the university IT department.
Student, Faculty and Staff support
  • Assist students, faculty and staff needing support with Handshake.
  • Collaborate with academic departments to develop and offer employment fairs.
  • Provide information and invites to students and faculty about fairs and events.

Minimum Required Experience
  • Bachelor’s degree in Communication Studies, Marketing, Public Relations, Information Technology, or related degree; or an equivalent combination of education and experience
Preferred Qualifications
  • Proven experience in establishing and growing a new program
  • Ability to work with employers to create and grow JLD opportunities for UM students
  • Knowledge of how the Job Location and Development program works through Financial Aid and understands how to grow this program to better support students and local employers
  • Knowledge of University and Federal recruiting/employment regulations

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $18.35/hr - Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Probationary Period: Six months minimum
