Job Summary/Basic Function:

The Instructional Materials Manager is responsible for ensuring that every Lee College student is provided with the instructional materials they need on the first day of class. Instructional materials including textbooks are paid through student fees, so the distribution of instructional materials does not involve cash transactions with students and does not depend on financial aid; thus, there are no barriers to providing students with the materials they need to be successful. The Instructional Materials Manager is responsible for obtaining textbook adoptions and other instructional material needs from faculty, purchasing the materials in sufficient quantity for the students who are expected to enroll, and distributing materials to students no later than the first day of class. The Instructional Materials Manager negotiates contracts with publishers and other vendors to get the best price and works with faculty and students to re-use books and materials when appropriate. The Instructional Materials Manager is responsible for warehousing materials, tracking inventory, and ensuring the security of materials.

Duties and responsibilities include, but are not limited to:
  • Provide excellent customer service to students, ensuring they have the instructional materials they need to be successful.
  • Work in collaboration with internal and external parties to resolve disputes and solve problems.
  • Serve as a liaison between faculty and textbook publishers and other vendors.
  • Work with faculty and division chairs to determine the instructional materials that students will need for each course taught by the college.
  • Negotiate contracts with textbook publishers and other vendors to purchase instructional materials in sufficient quantity for the students who are expected to enroll each semester or term.
  • Establish and maintain a warehouse space for receiving, storing, tracking, and distributing instructional materials.
  • Maintain accurate records for purchases, returns, and distributions.
  • Maintain a loss prevention program.
  • Establish appropriate distribution channels to maximize student convenience, such as through classrooms, the library, division offices, etc.
  • Work with faculty and division chairs to promote Open Educational Resources (OER).
  • Hire and train student employees as needed.
  • Work extended hours including evenings and weekends during peak periods.

Minimum Qualifications:
Internal candidates only - Must be a current full-time or part-time employees of Lee College
  • Associate’s (or higher) degree or successful completion of sixty (60) college credit hours
  • One (1) year of related work experience
  • Knowledge of managing budgets
  • Knowledge of campus safety procedures
  • Knowledge of inventory management principles and practices
  • Knowledge of Enterprise Resource Planning systems
  • Experience preparing a variety of reports
  • Customer service experience
  • Proficiency with Microsoft Office products (Word, Excel, PowerPoint) and willingness to learn new applications
  • Excellent organizational skills, self-starter with strong time management skills
  • Able to work with students, faculty, and staff with diverse academic, cultural, and ethnic backgrounds
  • Must be able to lift at least twenty (20) pounds; carrying or moving books and other materials is frequently done in this position
  • Must be able to walk and stand for long periods of time
  • Must be available to work evenings and weekends as needed
