(Job #514360) Student Services Professional II, Admissions Event Specialist, $4,304 - $6,120 month. Appointments are typically made at the beginning of the salary range. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in Admissions. Position Summary:

Under the direct supervision of the Associate Director of Communication and Visit Programs the Admissions Events Specialist focus on the logistics and event planning for Admissions related events for early outreach and recruitment. The position works closely with the Visit Experience Coordinator to implement large and small events. The Position also work closely with the Outreach and Recruitment team to launch early outreach events such as, but not limited to, American Indian College Motivation Day, I've Been Admitted to College, and Youth of Color Empowerment Day. The position is also responsible for communicating with on and off-campus partners to launch events through a committee center approach for most events, but at times will oversee all event planning for smaller focused events. The position also works with the Vice-President of Enrollment Management and Student Affairs on various events throughout the year.

Key Responsibilities:

20% - Event Planning and Communication

- Handle the logistics and coordination of Early Outreach and Recruitment events assigned by the Associate Director of Communication and Visit Programs.

- Through data and event surveys continually improve event results through adjustments and modifications in future events.

- Collaborate with Early Outreach Coordinator to build stronger bonds with off campus partners such as, but not limited to, County Offices of Education, School Districts, City/Community Organizations, etc.

- Work closely with Marketing and Communications to produce and monitor produce of any materials, signage, and other related efforts for events.

- Ensure communications go out campus-wide to ensure the campus is aware and knowledgeable about the events sponsored by admissions.

- Develop operational plan for communications activities based on assigned budgets.

- Create and Update Special Events web pages, events forms, and other related digital materials associated with events.

- Book accommodations and make travel arrangements for events speakers or other guests

- Coordinate with on-campus and off-campus dining when needed to ensure quality experience for all guests.

- Oversee "Day of Events" Logistics including

20% - Event Committee Facilitation

- Coordinate and support the management of committee meetings related to early outreach events such as, but not limited to, American Indian College Motivation Day, I've Been Admitted to College, Super Sunday's, and Youth of Color Empowerment Day

- Ensure all notes and documentation are stored in a central place that allows access for all partners working on the event.

- Communicate regularly with the assigned Admissions Staff and other department partners connected to early outreach and recruitment events to ensure meetings are held on schedule and all required deadlines to launch events on schedule.

- Collaborate with departments to recruit student, staff, and faculty volunteers for events.

- Provide registration and other related information to committees to keep everyone informed of progress.

- Coordinate any follow-up communications required for event or committee meetings

20% Planning and organizing special events for VPEM

- Coordinating travel for campus guests and speakers including pick from airport, transport to hotel and campus

- Arranging food and catering

- Arranging room requests and event set up

- Designing event fliers and assisting with Outreach

- Assisting with concur travel

- Additional tasks associated with special event planning.

- Duties will cover 2-3 events per month.

15% - Event Evaluation and Assessment

- Work with Institutional Research, Analytics, and Reporting to assess, or obtain guidance on assessing, events and other communication efforts.

- Coordinate pre-event and post event evaluations processes for all events assigned to the special events specialist.

- Prepare event summaries and reports that are provided to the Associate Director and Director.

- Provide recommendation to Admissions leadership for ways to improve events or activities.

10% - Diversity and Professional Development Support

- Research and provide recommendations to leadership regarding equity and other related professional development opportunities to consider for office development.

- Support the coordination and scheduling of any professional development for the office of admissions with the Office Manager.

5% - Supporting On-campus Admissions Visit Experience and Front Desk

- Regularly update on training to conduct presentations, meet with guests regarding admissions related content when Admissions Counselors are unavailable.

- Support front desk team in a secondary support role for the Visit Experience Coordinator.

- Conduct campus tours when students or staff are unable to cover in support of Visit Experience Coordinator.

5% - Summer Programming Coordination

- Design and coordinate any summer programming assigned by the Associate Director of Communication and Visit Programs

- Support any summer programming that is sponsored or connected to Admissions.

- Coordinate with Continuing Education when needed to create programming models and implementation of any summer programming.

5% - Other Duties as Assigned

- Support the Visit Experience Coordinator when availability allows.

Knowledge, Skills, and Abilities Associated with this Position Include:

Ability to perform standard office duties. Experience and proficiency with personal computers; Microsoft Word, Excel, and PowerPoint; database software, Internet and e-mail. Willingness to learn and apply new software. Ability to learn complex tasks quickly. Ability to use informed professional judgment. Ability to communicate complex rules and regulations to a diverse audience consisting of students, teachers, counselors, family members, and HSU staff. Ability to communicate effectively in written and verbal forms. Ability to work in a collaborative environment with people from diverse backgrounds and perspectives. Must have excellent writing and oral communication skills, demonstrate professional demeanor and possess strong organization skills. Ability to explain, interpret, and apply a wide variety of rules and regulations related to admission and financial aid information. Knowledge of California State University System policies and procedures related to admissions and enrollment management. Demonstrated sensitivity to cross-cultural perspectives and experience working with staff and students of color, underrepresented, varying socioeconomic statuses, gender identities and/or students with disabilities; interact in a caring manner with potential students, parents, high school and community college staff on a one-on-one basis and in group settings. Must have the ability to rapidly gain a general knowledge of the overall operation, functions and programs of Humboldt State University. Must possess a valid CA driver's license and have a good driving record with the Department of Motor Vehicles. Must be available to work outside of the normal business hours such as weekends and evenings.

Minimum Qualifications:

SSP II- A bachelor's degree or the equivalent to a bachelor's degree in a job-related field. Two years of applicable professional experience in a student services program or related field. A Master's degree may be substituted for one year of professional experience.
