Position Summary:

Monitor the daily operation of Workforce Solution Group Business Office. Performs duties necessary to provide an effective operation of WSG business offices. Serves as WSG resource person for Banner Finance, Human Resources, Purchasing, Payroll, and adherence to Board policies and procedures. Provides quality customer service to college employees and/or students by answering questions and assisting in the resolution of problems regarding College business operations.

Primary Duties Performed:
  • Trains, instruct and assign work to WSG Business Office; explains and enforces college policies.
  • Creates and maintain training manuals for WSG Business Office.
  • Serves as liaison between WSG and the finance department on issues related to WSG Business Office.
  • Assists in providing purchasing services to include processing requisitions, issuing, reviewing, completing, and maintaining purchase orders and affiliated paperwork/records. Reviews for budget availability. Performs follow-up on deficit accounts, keeps contract files up to date, resolves vendor invoice issues. Processes reports as requested. Ensures compliance with purchasing policy and procedures.
  • Review supporting documentation, mathematical correctness and completeness of personnel assignments and payroll documents.
  • Resolves payroll-related problems.
  • Serves as WSG resource person for Banner Finance and Human Resources. Responds to questions, distributes appropriate personnel/payroll forms, provides assistance to employees with concerns.
  • Administers purchasing card (P-Card) usage by authorized cardholders. Ensures MOUs are signed/renewed on a fiscal year basis.
  • Monitors purchase history and performs administrative duties to issue POs, change orders and cancellations to maintain and/or update records. Responsible for reconciliation of charges, maintaining receipts and other documentation and running weekly reports.
  • Responsible for onboarding Continuing Education instructors. Work with on-line tracking system to move candidates through the workflow. Acts as a point of contact to assist others within WSG with onboarding questions.
  • Reviews employee reimbursement requests for policy compliance, budget availability, supporting documentation and mathematical calculations. Processes and reconciles local and non-local travel reports; makes travel arrangements for WSG personnel; maintains records; may prepare budget transfers and journal entries. May prepare labor redistributions.
  • Performs other job-related duties as assigned.
Required Qualifications:

Associates Degree or equivalent and over 3 years of relevant full-time experience.

Salary Range:

$42,440 minimum
