Position Summary

The Proposal Manager provides support to UB faculty and multi-disciplinary research teams to facilitate the development and submission of funding proposals, especially those that are multi-investigator, cross-disciplinary, and multi-institution. This individual identifies and distributes potential funding opportunities, assists in the organization of proposal teams, and provides proposal management. This may include collecting required documents from the team, drafting required supporting documents, and facilitating budget development alongside specialists from UB Sponsored Projects Services ( SPS ).

Job Responsibilities:
  • Facilitate proposal development: Facilitate proposal development efforts with principal investigators and their teams. Maintain a current understanding of funding sponsors, their guidelines, and their priorities. Thoroughly review funding solicitations. Develop proposal outlines, checklists, and timelines to facilitate proposal planning. Initiate and maintain regular communication with Principal Investigators and proposal teams, SPS, and unit leadership throughout the proposal development process. Conduct proposal meetings with faculty teams. Facilitate contact with funding agencies, when requested.
  • Format and review proposal documents: Draft, format, secure, and review required proposal documents, including biographical sketches, current and pending funding, management plans, budget justifications, letters of support, training records, and other required supporting documentation. Ensure all documents are compliant with sponsor guidelines.
  • Develop Presentations and seminars for faculty: Assist in developing content for and contribute to multimedia presentations and seminars for university faculty and researchers related to grantsmanship, proposal development, and submission.
  • Time management, attention to detail, strong communication skills and the ability to remain confident and poised in a fast-paced environment are essential. Individuals in this role must be adept problem-solvers who are able to manage multiple projects and requests under strict deadlines. The individuals should be able to work independently and collaboratively with other ORA / SPS staff members, as well as with faculty teams.

Minimum Qualifications
  • Bachelor’s Degree
  • A minimum of 1 year of relevant grant and/or project management experience.
  • The individual should possess strong interpersonal communication and critical-thinking skills, as well as an ability to work in an interdisciplinary environment involving complex administrative processes.
  • A strong knowledge of Microsoft Office is essential, in addition to excellent project and time management skills.

Preferred Qualifications
  • Master’s Degree in any field; 3 or more years of direct grants management experience.
