The College of Lake County is currently searching for an Office Associate to join the Outreach and On-Campus department. The part-time Office Associate, under the supervision of the Assistant Director of Outreach and On-Campus Experience, performs administrative and reception duties for the Outreach and On-Campus Experience department. The part-time Office Associate works in a collaborative team effort with the goal of supporting student success and equity by adhering to the CLC values of Purpose, Integrity, Excellence, Inclusion, Unity, and Compassion. In addition this position works with the full-time Outreach and On-Campus Experience Coordinator in coordinating and organizing all details for department events, tours, and activities including completing room reservations, catering orders, event reports, event set up and clean up, and staff schedules. This position also serves as a liaison to other college departments in support of scheduled events, tours and activities.

Regular Part-Time Board established positions earn Vacation and Sick Leave and Tuition waiver for CLC classes and Tuition Reimbursement for advanced degrees. In addition, employees are eligible to participate in the State University Retirement System (SURS)

Required Qualifications:
  1. High school diploma or equivalent.
  2. Knowledge of Microsoft Office Excel and Word.
  3. A minimum of two years of office support or related experience.
  4. Demonstrated customer service and organizational skills.
  5. Ability to adjust schedule to work some evenings.

Desired Qualifications:
  1. Experience working at a community college or in an educational setting.
  2. Experience with event planning.

Summary of Essential Functions:
Student/Customer Service: 50% of time
  1. Performs all administrative and customer service responsibilities for the Outreach and On-Campus Experience department; this includes answering phone and email inquiries, receiving visitors, maintaining event registration sites, placing supply orders and maintaining inventory and supply records, and working with various college departments on all event logistics.
  2. Helps coordinate all event details for the department; includes room reservations, event set ups, check-ins and clean ups, catering orders, the online event registration system, attendance records, data entry, and staff schedules.
  3. Assists the Outreach and On-Campus Experience Assistant Director and Coordinator with promotion of programming including eblasts, fliers, social media, and promo tables.
  4. Assists students, staff & attendees during events, troubleshooting when necessary.
  5. Assists and attend with off campus events.
  6. Serves as a liaison when collaborating on events with additional college departments and student groups.

Department Operations/Processes: 40% of time
  1. Assists in arranging event details; including room reservations, catering orders, promotion and signage, event set up and clean up.
  2. Maintains inventory of all programming materials and supplies.
  3. Assists with monitoring events, including set-up, check-in and clean up, event staff schedules and duties, and communicating with other collaborating departments.
  4. Maintains inventory of all programming materials and supplies, assists with supply orders and budget tracking, maintains office organization.
  5. Assists the Outreach and On-Campus Experience Assistant Director and Coordinator with maintaining the student ambassadors’ works schedules.
  6. Assists Outreach and On- Campus coordinator with additional planning, preparation, and facilitation of succeed events and workshops.
  7. Assists the Outreach and On-Campus Experience Assistant Director and Coordinator with the hiring and training of all student ambassadors.
Other: 10% of time
  1. Assists with department projects.
  2. Other duties as directed by Supervisor.
