Senior Executive Administrator

Advanced level professional providing professional input to complex assignments/projects and providing direction to more junior professionals. Works autonomously, only requiring minimal supervision, expert level technical support from others. Exercises judgment in the evaluation, selection, and adaptation of both standard and complex techniques and procedures. Uses in-depth professional knowledge and acumen to develop models and procedures, and monitor trends, within own discipline area.

Reporting to the Provost/Vice President of Academic Affairs, the Senior Administrative Associate assists implementing programs, events, and procedures relating to Academic Affairs.

Specific duties include:
  • managing the Provost's calendar, scheduling her meetings, conferences and teleconferences;
  • coordinating the Provost's travel both domestic and international, including hotels, airfare and ground transportation;
  • planning, sequencing and scheduling large group meetings and special events, providing meeting setup and service including agendas, meeting minutes, and coordinating with catering and venues;
  • crafting and preparing routine and non­routine correspondence; operating at the front line as the face of the department;
  • prioritizing and triaging calls, visitors, and requests for appointments;
  • acting as the administrative point person for the Board of Trustees' Academic Affairs Committee and coordinating materials, meeting dates, agendas, etc. with the president's office and legal counsel when legislative in nature; taking minutes during committee meetings;
  • assisting the Provost with her duties in the areas of faculty affairs including the tenure and promotion process and other highly confidential matters, maintains records, and coordinates candidate interviews and high-profile searches;
  • coordinates the process of moving faculty legislation from assembly to the BOT to the Faculty Handbook
  • sending routine messages to faculty about pivotal dates, special events coordinating student office workers including hiring, organizing tasks, providing feedback, and managing hours;
  • collaborating with other offices and departments within the college as well as outside constituents;
  • acting as a liaison to the staff of president's office, administration and finance, general counsel and others on the floor;
  • anticipating the needs of the Provost by assisting her with preparing for upcoming events/meetings/high-­stakes appointments;
  • other duties including research projects as assigned by the Provost for Academic Affairs.


Ability to work independently, but also to function as a member of a team, and to work closely and collaboratively with team members, establishing and maintaining good relations with other staff, faculty and students. Detail oriented with excellent follow­ through. Strong organizational skills and ability to rapidly multitask, prioritize, manage stressful situations, and handle confidential matters.

Strong interpersonal and communication skills, including good listening skills and the ability to sensitively/patiently handle upset students and/or parents.

Strong writing and editing skills. Advance knowledge of MS Outlook, Word, Excel, PowerPoint; familiar with or able to learn additional computer software (database programs, design software, calendar/scheduling programs, email programs, etc.) knowledge of Diligent and Workday highly desirable. Ability to manage the office independently and to think proactively. 5 - 8 years experience providing administrative assistance to an executive or executives. Previous experience in higher education setting preferred.

Grade of Position: A17E

Scheduled Weekly Hours: 36.25

Salary: $75,100.00
