The Position

Provides confidential, executive level administrative support for the college President.

 

The College

Located in the northwest corner of the United States, Peninsula College is nestled in the foothills of the Olympic Mountains. The main campus in Port Angeles, Washington, overlooks the Strait of Juan de Fuca and the nearby city of Victoria, British Columbia, and has easy access to the Pacific Ocean, Olympic National Park, and Seattle. The College is honored to serve six sovereign American Indian nations in the region: Jamestown S’Klallam, Lower Elwha Klallam, Quileute, Makah, Hoh, and Port Gamble S’Klallam.

Essential Functions

  • Acts as liaison in communicating with college faculty and staff, members of the Board of Trustees, students, the public, external partners, and agencies; interprets policies and makes decisions as appropriate.
  • Assists the president with planning and budgeting management.
  • Conducts research and prepares analyses on specific topics; provides oral and/or written briefings.
  • Receives and screens office visitors, calls, and mail and establishes priorities; responds personally or refers as appropriate.
  • Organizes office and maintains records in electronic and paper filing systems.
  • Coordinates development and revision of policies, procedures, handbooks, guidelines, etc.
  • Maintains executive’s calendar, prepares materials, coordinates meetings, and makes travel arrangements.
  • Composes correspondence on behalf of the executive as needed.
  • Provides support to other lead staff, as assigned.
  • Organizes or assists with planning, directing, and coordinating of campus events.
  • Provides content management and support for relevant websites.
  • May supervise student and/or part-time employees.
  • Assists with related duties or special projects as assigned.

 

Additional Responsibilities Specific to the President’s Office

  • Provides support to the Board of Trustees and committees: coordinating meetings, arranging for travel and attendance at conferences and events; coordinating meeting agendas, preparation and distribution of minutes, and compliance with Open Meetings Act requirements.
  • Coordinates development, revision and publishing of Board Policies and Institutional Procedures, and compliance with the Washington Administrative Code process.

 

Duties of the position require knowledge, skills and abilities

  • Work independently and in teams while maintaining professionalism and modeling the colleges Guiding Principles.
  • Effective communicator in written and oral communications.
  • Comfortable using long distance communication technologies (e.g., video conferencing).
  • Proficient in the use of computers and programs including Windows, Word, Excel, and PowerPoint.
  • Technical accuracy.
  • Work under pressure.
  • Team player.
  • Problem-solving including identifying problems and possible solutions and evaluating solutions.
  • Organizing work around deadlines and due dates.
  • Budget management including understanding of income/expense and budget status reports.
  • Fiscal and program report preparation.
  • Develop and explain processes and procedures.
  • Ability to develop and maintain comprehensive written and digital records.
  • Ability to problem-solve using creativity and innovation.
  • Ability to maintain confidentiality.

 

Required work schedule and work environment

  • Typical work schedule is 8 am – 5 pm, Monday – Friday.
  • May work remotely at times, at discretion of supervisor.
  • Some travel may be required; valid driver’s license required.

 

Required physical abilities

  • Work is typically performed in an office environment and requires standing and/or sitting and using computers for extended periods of time.

 

Required education or certificates

  • Bachelor’s degree or equivalent level of knowledge, skills, and abilities required.

 

Employment Terms

  • Annual full time, exempt position.
  • Starting salary: $60,000 - $70,000 DOE.
  • Excellent benefits package including medical, dental, life, and long-term disability insurance; paid vacation and sick leave; retirement plan options; optional credit union and tax-deferred annuity programs. Peninsula College contributes $1,130 per month towards the cost of the Washington State employee insurance programs. The college also supports professional development.
  • Peninsula College is a qualified employer for the Public Service Loan Forgiveness If you work for the College full time, have had Direct Loans and are on an eligible repayment plan, you are eligible to apply.
  • Full-time employees are eligible to apply and participate in the Peninsula College Employee Tuition Program.
