Job Description:

The Systems and Process Specialist is an integral member of the Graduate Admissions team. S/he is responsible for assisting the Director with system support, building process requirements, and maintaining current project management structures for the graduate programs in the Graduate School of Management, the School for Professional Studies, and the International Development, Community and Environment Department at Clark University. Reporting to the Director of Graduate Admission, this position requires a strong knowledge of systems and admission CRMs, as well as excellent collaboration skills to develop projects across the university.

 

Major Responsibilities: 

Systems Liaison:

  • This person will serve as the systems liaison for the Director of Graduate Admission, the Director of Graduate Enrollment Management, and the Director of Graduate Marketing.
  • Provide direct support to the Director of Graduate Admission on annual admission cycle preparation work relating to Slate CRM and related software used at Clark
  • Provide daily assistance to the recruiting and admission teams in their use of and revisions to the graduate Slate instance
  • Assist Slate users with varying levels of system knowledge with query building, data uploads, and general system maintenance
  • Work alongside Director of Graduate Admission to build and maintain enrollment reporting for constituents across campus

Process Specialist:

  • This person will also serve as the process specialist for the Graduate Admission team.
  • Contribute to a forward-thinking graduate admission team; assist in developing new policies for admission and enrollment within the graduate schools at Clark University
  • Develop and maintain close working relationships with Information Technology Services, the Registrar's Office, Financial Services, Student Accounts, the Graduate Budget Office, faculty program directors, and other administrators on campus who utilize the Graduate Admission systems
  • Build and maintain annual admission cycle calendar, including application deadlines and decision release dates.
  • Manage application process for all Clark Ph.D. programs; maintain frequent contact with Ph.D. program directors, coordinate all admission decision releases, and communicate any issues to Director of Admission
  • Build and maintain training and development documents for all staff roles
  • Maintain and add to Grad Admission knowledge repository in Microsoft Sharepoint
  • Provide training as requested on new and existing Slate CRM features to consistently bring staff to an equal level of system proficiency
  • Provide assistance as needed to graduate operations team during busy periods of application activity (typically January-April)

Requirements:

Required

  • Bachelor's Degree from a regional accredited college or university or appropriate combination of education and work experience
  • 8+ years work experience
  • Prior experience in graduate admission
  • Advanced user skillsets within Technolutions Slate, Ellucian Banner, and Office 365
  • Must be a self-starter with the ability to work with limited guidance.
  • Excellent written and oral communication skills.
  • Ability to multi-task, prioritize, and follow-up in a timely manner
  • Willingness to work evenings and weekends as needed.
  • Ability to make ethical decisions within a complex, dense staffing structure
  • Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus

 

Preferred

  • Previous supervisory experience within a small to medium team size
  • Basic knowledge of SQL
