Position Summary:

Xavier’s Department of Physical Plant is seeking a Records Management Specialist. The Records Management Specialist will serve as the primary person responsible for the organization, standardization, archival, and destruction of the Office of Physical Plant’s records regardless of medium or format. The focus is to professionally manage multiple processes that simplify and modernize accurate access to data which will then allow better access to information and improved decision quality. This requires an experience level of 5-10 years of records management experience preferably within a physical plant or facilities setting. Other duties include confidential administrative assistance and secretarial support to the Vice President, Facilities, construction team, design team, and operations staff that will help them achieve success while performing a myriad of functions. This requires high-level administrative assistant experience and/or office skills; proficient analytical and organizational skills; the ability to work independently in a fast-paced and dynamic environment; strong written and verbal skills for effective communication with individuals within and outside of the university; and the ability to be a self-directed and multi-task oriented individual. The position will report directly to the Vice President, Facilities.

Specific duties include:
  • Records/Database management
  • Administrative support for the Vice President, Facilities
  • Administrative support for the Director, Construction
  • Administrative support for the Director, Plant Operations
  • Administrative support for the Director, Facilities Strategy and Assessment
  • Administrative support for the Project Architect
  • Appointment/meeting scheduling
  • Office management
  • Budget management and reporting, including purchasing of office supplies
  • Assist with web-based changes
  • Travel arrangements
  • Other duties as assigned
Qualifications:

Required
  • Experience in records management
  • Experience in facility management
  • High school education
  • 5-10 years administrative experience
  • Demonstrated proficiency in all Microsoft Office software
  • Excellent verbal and written communication skills
  • Ability to work independently on multiple projects
  • Ability to coordinate events
  • Excellent customer service and problem-solving skills
  • Strong database management capabilities
  • Ability to maintain confidentiality
Preferred
  • Associates degree
