JOB DESCRIPTION

The College of Health Sciences is seeking applications for an Administrative Assistant - Experiential Education. This is a full-time, 37.5 hours per week, non-exempt position. The Administrative Assistant - Experiential Education is responsible for assisting the College of Health Sciences Experiential Education team (Krannert School of Physical Therapy (KSPT), School of Occupational Therapy (SOT), and Athletic Training (AT) with administrative oversight functions related to experiential education including monitoring adherence to affiliation agreements. The position will require facilitating data management and communication across students, faculty, and community partners including legal offices at UIndy. In addition, this person will coordinate experiential opportunities that occur internal to the curriculum, through the provision of administrative oversight of our community patient program – a network of volunteers who serve as volunteer ‘patients’ for students across KSPT, SOT, and AT.





RESPONSIBILITIES
  • Manage data and information related to student experiential education for multiple academic programs with a database and experiential learning management system
  • Implement and oversee efficient and effective workflow processes across CHS programs to collect, distribute and manage relevant materials and ensure adherence to affiliation agreements
  • Respond to and initiate communications with faculty, students and clinical / community partners, community patient volunteers in writing, by telephone, or by videoconferencing
  • Plan and coordinate events, projects and community patient visits
  • Maintain student confidentiality consistent with FERPA
  • Create and manage department records and reports, including those necessary for program evaluation and accreditation
  • Provide instructional and administrative support for experiential learning faculty
  • Attend meetings and take minutes
  • Assist visitors and respond to inquiries via telephone and email with individuals outside and inside the university
  • Prioritize and manage multiple priorities/projects/tasks
  • Other duties, including special projects, may be assigned
  • Work weekend or evening hours on rare occasion when required
QUALIFICATIONS
  • High school diploma or GED required
  • Experience working with Microsoft Word, Excel, PowerPoint, Google based programs, and database programs required
  • Undergraduate degree preferred
  • Experience with learning management systems preferred, with learning to use new systems, and adapting to technology needs required
