About the Department/Unit

The Office of the Dean of Students supports student learning through programs and services that promote growth and development, communicate the values and standards of the AU community, and advocate for students' needs.

Summary/Objective

The Assistant to the Dean of Students provides administrative support for the Office of the Dean of Students (DOS) and Student Conduct and Conflict Resolution Services (SCCRS). The Assistant responds to inquiries from faculty, staff, students, and family members who bring questions, concerns, or issues to these departments. The Assistant to the Dean is the first point of contact for many of the students, faculty, staff, parents, and others who reach out to the office for support, often triaging highly sensitive and/or confidential matters including student crises, student conduct cases or other student issues. The Assistant provides general office support to team members in a variety of ways supporting the general mission of the departments.

Essential Functions
  1. Problem Resolution/Front-Line Response
    Triage concerns that come to the attention of the Office of the Dean of Students and Student Conduct and Conflict Resolution Services using established protocols; respond appropriately to students/parents in crisis through immediate response and appropriate referral. Respond to parents and students to address routine student issues through to resolution.
  2. Office Management
    Respond to and/or direct email, phone, website, social media, and visitor inquiries to proper personnel. Manage logistics for meetings and events including scheduling of Office’s conference room/s.
  3. Administrative Support for the Office of the Dean of Students
    Represent the Dean’s Office to internal and external constituencies; assist in the scheduling of meetings for office staff, as needed. Create Care Reports for students with significant behavioral, mental health and/or personal concerns; upload documents, letters, and notes for Care Reports, such as early warning notifications and AUPD reportsas requested.
  4. Communications/Other
    Maintain office website, email account, telephone, 4-Winds service and social media accounts. Maintain presence of office waiting area including adequate supply of educational and informational materials.

Position Type/Expected Hours of Work
  • Full Time - 12-month, 35 hours per week, Monday – Friday, 9am-5pm.

Required Education and Experience
  • High school diploma or equivalent
  • 1-3 years of relevant experience of progressively responsible administrative experience required.
  • High standards of integrity and professional ethics. Ability to set and maintain personal and professional boundaries. Ability to handle sensitive and/or highly charged student matters with strict attention to confidentiality.
  • Ability to communicate effectively with associate deans, advisors, Campus Life staff, faculty, and parents to provide excellent follow-through.
  • Desire and appreciation for work in a diverse, fast-paced office environment.
  • Ability to maintain a calm demeanor in stressful situations.
  • Demonstrated computer proficiency (word processing, spreadsheet, and database systems).
  • Excellent attention to detail; organizational, p r i or iti za ti o n, time m anage m e nt, a nd d e ci s i on-mak in g sk ill s.
  • Excellent verbal and written communication skills.
Preferred Education and Experience
  • Associate's degree or equivalent
  • 3-5 years of relevant experience
  • Prior university experience working with highly sensitive and/or complex student issues such as conduct or executive level functions preferred
