Job Description Summary

Supports the Director of Design and Capital Project Management on capital projects and major renovations as assigned. Supports the planning and coordination of project tasks, scopes of work, timelines for assigned projects, and project budgets.

Supports coordination of work completion by internal teams and third-party service providers such as design firms, consultants, contractors, and construction managers. Coordinates with the Capital Budget Analyst on capital project budget tracking for individual projects. Focuses on service delivery, timelines, and campus client’s satisfaction. Supports the capital project management team as needed.

Responsibilities

PROJECT AND BUDGET MANAGEMENT SUPPORT
  • Support management of capital projects and major renovations. Assist in development of project narratives, dashboards, budgets, schedules, financial projections, and other reporting and managing documents.
  • Assist in the preparation of project scopes of services, agreements, and contracts.
  • Support the coordination of the selection of architects, contractors, and consultants appropriate to project types and scopes.
  • Support and coordinate with the Capital Budget Analyst the tracking of budgets for individual capital projects.
  • Support writing and execution of Requests for Qualifications and Requests for Proposals.

CONTRACT MANAGEMENT SUPPORT
  • Support the administration of the bidding and procurement processes.
  • Support the completion and/or amendment of contract agreements with awarded external consultants, architects, contractors, vendors, and other professionals in collaboration with Legal Affairs and Risk Management.
  • Support coordination of management and the administration of contracts with external consultants, architects, contractors, and other professionals through all project phases to ensure designs are implemented in accordance with campus and industry standards, specifications, construction documents, and overall design objectives.

QUALITY CONTROL AND STANDARDS
  • Assist in the development and refinement of design and construction guidelines and standards for buildings and campus design elements.
  • Assist in conducting quality control reviews of project documents.
  • Assist in the development and updating of documentation related to department project management standards, administrative procedures, and reports.
  • Assist in the development and updating of documentation related to architectural and interior design standards.
  • Support appropriate architectural quality and design excellence.

RESEARCH, COORDINATION, MONITORING, DOCUMENTATION
  • Assist in researching technical solutions regarding matters of campus design, planning, development, entitlement, and capital construction projects during all project phases.
  • Assist in the coordination of document reviews and internal approvals by the appropriate and relevant campus departments.
  • Maintain project documentation in a timely and highly organized manner.
  • Support efforts to monitor the lifecycle costs, energy use, sustainability, durability of materials and equipment, and maintenance issues.
  • Support the monitoring and ensuring that budget and quality standards are met.
  • Support the preparation and distribution of reports to appropriate personnel as required.
  • Assist in the coordination and interactions with city departments.
  • Assist in the coordination with consultants to address state and federal permitting requirements.
  • Coordinate project closeout documentation as assigned.
  • Assist in projects involving occupant relocations and move-ins.
  • Assist in the transitions from project phase to facilities operation.
  • Assist in the advancement of the campus accessibility and sustainability goals and objectives.

OTHER DUTIES AND RESPONSIBILITIES
  • Other duties and responsibilities as assigned by the Director of Design and Capital Project Management.
Required Qualifications
  • Bachelor’s degree in Architecture, Construction Management, Project Management, or a related field.
  • Three (3) years of experience in a combination of architectural design, project management, construction management, contract execution, and budget tracking, preferably in institutional projects.
  • Proficiency in budgeting and project management software and systems and other applicable programs.
  • Possess or on track to achieve one or more of the following certifications or licenses is desired: Architect License, Professional Engineer, LEED AP, and/or PMP
  • Knowledge and experience in the design, development, management, and contracting for capital projects.
  • Knowledge of applicable requirements, regulations, codes and laws.
  • Strong time management skills.
  • Ability to track complex project budgets, support project management processes. and effectively prioritize assigned tasks.
  • Ability to work in a collaborative, team-based and fast-paced environment, internally and within the institution.
  • Ability to support a mission and strategic vision.
