Building Coordinator
Harold Washington College

Harold Washington College is seeking a dependable and reliable Building Coordinator to join our team. The ideal candidate will be customer- service oriented, with a demonstrated ability to deliver helpful, high quality service and assistance to meet the needs of the Harold Washington Community.


Reporting to the Director of Auxiliary Services, the Building Coordinator functions in a senior support role within a college’s Facilities Department, assisting in managing the day-to-day operations related to campus building maintenance and support operations. Working in close collaboration with the Director of Auxiliary Services, the Building Coordinator provides oversight and direction to maintenance / housekeeping operations including inventory control, events management, mail and reprographic services, and other support services that provide a clean, safe, and well-maintained campus environment for students, faculty and staff. Campus buildings operate on extended hours, six days a week to accommodate class schedules and student needs. The Building Coordinator must be willing and able to work flexible hours as needed.

  • Works collaboratively with the Director of Auxiliary Services in creating and executing work policies and procedures to improve the operational efficiency and delivery of facilities management services to clients.
  • Implements inventory control processes to ensure the proper receipt, control and inventorying of fixed assets including office furniture, classroom and lab equipment, custodial cleaning machines and other property.
  • Conducts regular walk through inspections of campus building to assess the facility’s physical condition and to identify needed janitorial, maintenance and repair services.
  • Works with janitor supervisors and building engineer to address and resolve maintenance, repairs, and custodial/housekeeping issues.·Conducts physical inventory of campuses’ fixed assets, locating items, verifying asset tags and updating computerized inventory records. Prepares paperwork to document unaccounted for furniture or equipment.
  • Creates inventory records and maintains computerized inventory management records.
  • Schedules and oversees all aspects of office and classroom moves, overseeing staff and directing the moving and set-up of boxes, office furniture and class/lab equipment and materials and enforcing all safety protocols.
  • Works with building engineer, janitor supervisor, and IT department to ensure telephone and computers are installed and new office space or work area is cleared, clean (i.e. carpet shampooed, fresh paint) and ready for new occupants.
  • Implements work procedures and trains campus personnel in the preparation, storage and retrieval of documents from off-site storage facility vendor. Serves as primary liaison to vendor on issues and problem resolution.
  • Tours event space with clients, reviewing floor plan to ensure proper set-up of furniture and equipment, responding to questions, and providing quality customer service. Ensures space and furniture are cleaned prior to event.
  • Coordinates logistics to ensure a successful event. Oversees the set-up/ teardown, ensures set-up of contracted IT equipment, and works with outside vendors to aid in the success and satisfaction of clients.
  • Supervises student workers, making work assignments, monitoring work performance and approving timesheets.
  • Assists in implementing operating procedures and quality work standards. Administers and ensures compliance with HR policies and procedures.
  • Prepares various management, work activity, and budget expenditure reports.
  • A Bachelor’s degree from an accredited college or university in Business Administration, Finance, Business Management, Accounting or Real Estate or related field; and three years of related professional work experience; OR Five to seven years of professional work experience relating to inventory management, facility maintenance, custodial services or an area related to the position’s functions. A combination of education and experience may be taken into consideration based on the applicant’s credentials.
  • Experience working in a customer service environment, with the ability to provide service to clients in a courteous and professional manner.
  • Moderate proficiency in the use of Microsoft Office (Word, Excel, and Outlook)
