Associate Director of Admissions Operations



Job Summary:
The Associate Director of Admissions Operations is responsible for the continued implementation and development of our CRM (Anthology) and Student Information System (PeopleSoft) to increase connections and engagement with prospective students, to enhance the enrollment management operations for the Admissions Office and other enrollment management departments.

The Associate Director will assist in planning and carrying out recruitment-focused messaging from concept to delivery to tracking and reporting. Provides data-informed and system-based solutions to facilitate outreach, recruitment, travel and territory management, campus visit programming, yield programming and data reporting and analysis.

This position provides software development and support in a multi-platform environment, utilizing software applications to support the planning, development, and coordination of recruitment and admissions efforts to recruit prospective students.

Essential Responsibilities:
  • Manage the day-to-day operations of the admissions process, including supervising a team of Enrollment Associates, to deliver exemplary service and support to prospective students and others.
  • Work with the Director, Dean of Graduate School and other department leadership to streamline the admissions and enrollment processes for students applying to undergraduate and graduate programs.
  • Responsible for the development and further implementation of CRM processes and procedures used by various Admissions and Enrollment Management units; like Financial Aid, Orientation, Registrar, Advising.
  • Maintain a solid knowledge of both the Oracle Peoplesoft and Microsoft Dynamics 365 Anthology CRM databases as they apply to all aspects admissions operations, including the application form and data collection/management, communications to prospective students and applicants, events registration and communications.
  • Design and maintain operational and strategic reports and queries that allow for predictive analysis as well as data dashboards on the comprehensive applicant funnel.
  • Identify opportunities for process improvement and implement process improvements as appropriate.
  • Oversee daily functions and processes like data maintenance, data transfers between Anthology, Peoplesoft, other 3rd party enrollment partners.
  • Work closely with OIT and Anthology support providers to test new functionality and upgrades to Anthology and PeopleSoft.
  • Serve as functional manager of all other software and technologies used by the Office of Admissions; i.e. touchnet payments processing.
  • Ensure that data related to prospective students is collected, entered, and maintained in a manner that effectively supports student relationship management and increases applicant yield.
  • Manage Admissions webpages and online event calendar.
  • Document processes and develop procedural manuals.
  • Provide support and CRM training to staff on an ongoing basis.
  • Provide reports and queries to various on and off-campus constituents.
  • Completes all mandatory training and participates in a minimum of one CRM (Anthology) or SIS (Peoplesoft) related professional development each year.
  • Participates in community and professional organizations as a representative of Coppin State Admissions Office when applicable.
  • Performs other duties as assigned.
Required Qualifications

Education:
  • Bachelor’s degree with a preference for degrees in information systems, computer science, business administration, management information systems, marketing, statistics, social sciences; Master’s degree preferred.
Experience:
  • Minimum of five to seven years of progressive work experience with systems administration.
  • Experience with software application development and/or database management.
  • Knowledge and experience in recruiting/sales and/or college admissions.
  • Experience working in a fast-paced and customer service rich environment with a diversifying student body
Knowledge, Skills, Abilities and Other Characteristics:
  • Extensive previous experience with CRM, document imaging software, admissions and/or university information system including Microsoft’s Anthology ( CRM ) and Oracle’s PeopleSoft ( SIS )
  • Coding experience with one or more programming languages such as HTML, SQL, XML, Javascript, etc…
  • Demonstrated ability to develop and implement new technologies and/or services in a high-impact environment including robust training to end-users.
  • Proven ability to organize, manage and meet goals/project deliverables with a detail-oriented work style;
  • Demonstrated experience and ability working with relational databases and interpreting, analyzing and reporting data with the ability to evaluate, troubleshoot and problem solve.
