The Executive Assistant supports the Executive Vice President (EVP) of Institutional Advancement, the Vice President of Development & Alumni Relations, and the Director of Campaign Operations. This calls for a high volume interactions with philanthropists, consultants, and University leadership. The position also supports team initiatives and projects and manages a variety of tasks of varying priority levels and timelines at any given time. Our ideal candidate is an independent decision-maker who can re-prioritize on a dime to accommodate emerging needs and motivate a diverse team to achieve. Responsibilities include:
  • Connects with donors and external partners on everything from scheduling to finalizing agreements.
  • Tracks and analyzes data to keep Major Gift Officers on track with donor appointments and gift administration.
  • Runs point on all data needed from our electronic donor information system and other databases. This includes gathering data, updating data, and reporting out on information.
  • Tracks and enters contact reports to ensure adequate records are kept on donor interactions using established databases.
  • Manages candidate communication and tracking for open positions and onboards new employees to the department.
  • Aids the operations team in mapping and documenting processes for improved communication and clarity on roles and responsibilities for business processes.
  • Manages the EVP’s calendar including coordinating events and meetings, calls and travel.
  • Drafts and edits communication on behalf ofEVP.
  • Prepares for meetings, keeping minutes for multiple meeting groups, summarizing meeting feedback and proofreading documents.
  • Schedules and coordinates events and meeting logistics, both internal and external.
  • Prepares for multiple regular and one-off meetings. Attends meetings and records, transcribes, and distributes minutes, summarize meeting feedback.
  • Organizes and prioritizes multiple tasks and responsibilities with high attention to detail.
  • Interacts with all levels of management, staff, faculty, students and external constituents with diplomacy and professionalism.
  • Ensures that all of our audiences receive excellent customer service and follow-through on requests.
  • Collaborates with team members and internal and external audiences to ensure projects are completed in a timely fashion.

Minimum Qualifications
  • High School Diploma
  • Two (2) years of experience in an administrative support role
  • Experience working with Microsoft Office suite, Google suite
  • Experience entering data into database systems and reporting on systems data

Preferred Qualifications
  • Bachelor’s degree
  • Experience with Banner, Reeher or another advancement database.
