Executive Secretary to the Board of Trustees and Office Assistant



Shenandoah University’s President’s Office is seeking applications for Executive Secretary to the Board of Trustees and Office Assistant. This is a full-time position located on our main campus in Winchester, VA.

As Executive Secretary, this position provides oversight and management for a diverse range of confidential, high-level activities within the President's Office, specifically in relation to the Board of Trustees. As a member of the President's Office staff, the position will also have the knowledge to manage, prioritize and address impromptu visits, emails and phone calls from a variety of sources and possess the ability to exercise considerable judgment in handling such situations. Strong oral and written communication skills as well as interpersonal skills are a must. Time management and the ability to prioritize is important. A creative mind is a plus for event planning and will also be a large part of the position, including various errands on and off campus. At least 5 years of experience in the executive level administrative assistant/secretary is preferred. Bilingual is also preferred but not required.

Key Duties and Responsibilities:
  • Serve as Board of Trustees liaison to provide support for all activities, meetings, and retreats
  • Maintain legal records and filings related to Board of Trustees
  • Greet all guests visiting the President’s Office
  • Serve as contact with Office of International Programs for international visitors, including purchasing gifts and coordinating events
  • Serve as liaison with greater community for general events, such as Apple Blossom Festival, and specific requests
  • Serve as liaison with church-related organizations including, but not limited to, Va. Conference of the UMC, General Board of Higher Education and Ministry, and the Board of Higher Education Campus Ministries
  • Handle conference registrations and related travel to above organizations
  • Plan special events on and off campus for faculty/staff
  • Writing and editing (thank you, congratulations, etc.)
  • Keep office supplies filled and organized and perform errands
  • Oversee work-study students’ responsibilities
Required Experience

Qualifications:
  • Education: High school diploma required and five years’ experience in a related or equivalent field required; college degree preferred.
  • Language: Bilingual preferred
  • Effective oral and written communication skills, excellent interpersonal skills
