The School of Medicine and the Department of Molecular Microbiology and Immunology are pleased to announce an opening for an Executive Assistant.

Job Description

Executive Assistant to the Department Chair
-Primary support and assistance for the Chair.
-Manage the Chair’s calendar, correspondence and confidential files.
-Arrange meetings, record minutes of faculty and executive committee meetings.
-Manage departmental committees and correspondence.
-Schedule travel, prepare itineraries and process reimbursements.
-Manage faculty candidate recruitment and campus visits.
-Coordinate and oversee faculty annual reviews, promotion and tenure and myVita.
-Appointment/renewal of Graduate and Doctoral Faculty status.
-Liaison between the Chair and the School of Medicine Dean’s office and outside entities
-Special projects, programmatic assignments and reports at the request of the Chair.
-Organize department special events.
-Supervise Business Support Staff II, Senior Office Assistant or other staff and hiring.
-Signature authority on major department accounts. Manage departmental One Card.
-Payroll delegate for the Chair. Review, change and approve staff payroll.
-Create and update departmental directory.
-Manage keys, telecommunications and conference room assignments and guest parking.
-Departmental emergency contact person.
-Receptionist.

Salary

Salary Range: $16.92 - $30.68/hour

Grade: GGS-008

Shift

Monday – Friday

8:00 a.m. – 5:00 p.m.

Ability to be flexible when business needs arise.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary .

Preferred Qualifications

Ability to manage complex and sensitive information with discretion.
Excellent organizational and time management skills.
Effective written and oral communication skills .
