General Summary: The Assistant Director for Engagement & Programs works collaboratively to provide non-academic activities that complement the student's academic and personal goals within the guidelines of federal, state, and local laws and college and office/division policies and procedures. Responsibilities include, but are not limited to, planning and participating in student activities, and collecting data on student's needs and interests. The Assistant Director also: provides administrative support and supports the daily operations for the Center for Leadership, Engagement, and Service (CLES). Works with students and their families, faculty and staff, student workers, and vendors. Serves as the primary advisor to the Programming Board and Mortar Board. Works with Mortar Board in planning and executing all aspects of Black Cat Week in the fall. Plans and executes the Sophomore Ring Ceremony and Reception. The ideal candidate will possess a Master's degree in Higher Education Administration or related field, as well as two years of experience in student affairs or related areas. This person must have the ability to work with a diverse student body.

Essential Job Functions:

  1. Provides input in maintaining and developing annual budget, monitoring expenditures, reallocating funds and maintaining student activities financial records in accordance with federal, state and institutional procedures including preparing contractual arrangements for performers, equipment, and temporary personnel.
  2. Provides assistance with college wide activity emails and calendar of events.
  3. Assists with the coordination of the student shuttle service program.
  4. Creates spreadsheets for monitoring registration, event signup, and other various events and functions; create marketing materials for events and activities.
  5. Participates in the development of marketing strategies to promote campus activities and services to maximize student involvement; assist with marketing, graphic design, and website enhancement for the Center for Leadership, Engagement, and Service.
  6. Plans, coordinates and supervises the preparation and dissemination of publications related to student clubs, and activities.
  7. Approves and edits flyers, posters, literature and other materials prepared by student groups for on and off-campus distribution; implement and oversee processes for posting/distributing of materials and electronic media on campus as requested.
  8. Works with the Marketing and Communications department, and others to market student involvement, campus activities, and events.
  9. Assists with content management for the internet and intranet sites and monitors social media sites related to the Center for Leadership, Engagement, and Service.
  10. Assists in creating, editing and updating policies and procedures including but not limited to P-Card policies, Alston Campus Center posting policy.
  11. Monitors the student organization budgets as well as review and approve organization activity requests and contracts.
  12. Promotes and assists with student recognition/award presentation events.
  13. Coordinates and executes the annual Sophomore Ring Ceremony.
  14. Participates with supervising student workers for the Center for Leadership, Engagement, and Service.
  15. Remains visible and approachable to all students and guests (students, faculty, staff, and community members) at all times, and acts as a resource by providing answers to questions or assistance as requested.
  16. Performs assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards with minimal supervision.
  17. Serves as the advisor to Mortar Board and the Programming Board and offers guidance and assistance in the planning of both large and small events.
  18. Collaborates with CLES staff to plan, organize, coordinate and supervise various educational, social, and cultural student events.
  19. Assists and attends all major student events - i.e. Orientation, Commencement, Black Cat Week, etc.
  20. Assists with all aspects of the Leadership through Event and Activity Development Team planning and executing departmental events.
  21. Works with all chartered student organizations in planning student events.
  22. Supports training of student organization leaders including working with the Inter Organization Council
  23. Serves on college committees as requested by the supervisor and/or the Vice President for Student Affairs.


REQUIREMENTS

Education : Master's Degree required. Knowledge of student life programs and services preferred.
Experience : Minimum two years of administrative support experience is preferred. Additional preference will be given to individuals who have previously worked in higher education settings.
Knowledge/Skills/Abilities
:
  • MUST be willing to work evenings, late nights, and weekends
  • Must be willing to travel for professional development.
  • Excellent verbal and written communication skills, strong organizational and administrative skills, and close attention to detail.
  • Considerable knowledge of modern office procedures and familiarity with standard office equipment and multi-line telephone systems.
  • Familiarity with office/departmental policies and procedures in an academic setting.
  • Proficiency in Google based computer applications: Google Docs, Google Sheets, Google Forms, Google Slides
  • Proficiency in Windows-based computer applications: MS Word, Excel, Power Point, and Publisher.
  • Familiarity with current social media platform and communication application trends including Twitter, Snapchat and Instagram.
  • Ability to navigate the internet and execute online searches.
  • Demonstrated ability to work independently and maintain confidentiality.
Other :
  • May supervise and/or train designated personnel.
  • Periodic travel required from office to other locations on and off campus.
  • Possess or have ability to obtain a valid Georgia state operator/driver's license for the type vehicle or equipment operated.
  • Irregular work hours including evening and weekend programs that are consistent with student affairs positions nationwide.
PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, occasional moving of light objects. Work is performed in an office as well as outside.
