Job Description:

Amherst College invites applications for the Administrative Assistant/Bookkeeper position. The Administrative Assistant/Bookkeeper position is a full-time, year-round position, starting at $20.48 - Commensurate with experience. The Administrative Assistant/Bookkeeper serves as the library's bookkeeper and receptionist; provides administrative support to the Director of the Library, Business Manager, and Amherst College Press; and takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Summary of Duties and Responsibilities

Administrative Supportand Reception:
  • Place orders and manage inventory for general supplies, including paper and toner for copiers and printers.
  • Place service calls.
  • Greet and direct a diverse set of visitors with attention towards creating an inclusive experience for all.
  • Answer phones.
  • Provide general guidance/direction to other library staff regarding service center reporting and library policies/procedures.
  • Schedule library meeting rooms, posting weekly calendars.
  • Assist the Director of the Library with scheduling and calendar management.
  • Collaborate with the Business Manager on modifying processes to resolve situations/problems.
  • Sort mail, receive, and sort UPS, FedEx, and DHL deliveries.
  • Schedule meetings; arrange accommodations, transportation, and restaurant reservations; and assist with reimbursements for library staff searches and conferences.
  • Coordinate and assist with the redaction of candidate materials for library searches.
  • Provide administrative support for the Amherst College Press:
    • Assist with the preparation of marketing materials for conferences
    • Assist with the development of communication pieces
    • Guide interns on the development of author reports
    • Social media coordination
    • Other logistical support
  • Provide additional administrative support as assigned by the Director of the Library and Business Manager.


Bookkeeping:
  • Maintain records for library purchases.
  • Independently apply advanced bookkeeping skills for forensic accounting.
  • Reconcile acquisitions charges.
  • Assist acquisitions with budget tracking.
  • Assist acquisitions with Workday tasks.


Performs other duties/functions as requested.
  • Serve on library committees and may act as committee chair with responsibility for planning, organizing, and assigning tasks to others.

Qualifications

Required:
  • Associate's Degree
  • 2-3 years of experience in administrative support
  • Bookkeeping skills
  • Strong attention to detail; good verbal and written communication skills
  • Strong customer service and exceptional interpersonal skills
  • Demonstrated organizational and time management skills and the ability to adjust to shifting priorities
  • Ability to follow established procedures and directions along with ability to take initiative whenever appropriate; ability to work independently and collaboratively
  • Computer skills, including the ability to manage website content, and knowledge of standard productivity tools including Gmail, Microsoft Word, Excel and their equivalents.
  • Demonstrated commitment to effectively supporting a broadly diverse and intentionally inclusive community


Preferred:
  • Bachelor's Degree
  • 3-5 years of related experience
  • Familiarity with Workday
