The Center for Social Concern (CSC) fosters a lifelong commitment to active citizenship by integrating education, action, and reflection into community-focused programming for Hopkins’ students within Baltimore City. We are seeking a Senior Administrative Coordinator who is critical in providing administrative, programmatic, and financial management support to the Center for Social Concern’s portfolio, advancing our mission. This position will be highly detailed and technical and require exceptional administrative judgment and communication with a diverse network of people.

The candidate will be responsible for maintaining a foundational level knowledge of a variety of programs and financial management platforms that support departmental operational processes. The ideal candidate for this role will be a collaborative team member as they will work with all CSC staff members to support the CSC’s office and financial management as well as logistical support.

The role provides calendar management for the executive director, coordinates departmental meetings (in-person and virtual), maintains office supplies, on-site facilities coordination, logistics management for programs and events, and assists with special projects.

Reporting to the Associate Director of Operations, this position will perform a wide variety of duties and administrative tasks necessary for smooth operation of the Center.

Specific Duties & Responsibilities:

Financial Management & Logistical Support (70%):

  • Review and process financial requests through Hopkins Group's platform in support of student organizations, which includes purchasing supplies, reimbursements, and transaction update.
  • Provides operational and financial management support for Baltimore First program that includes: Hopkins Engage (community engagement) platform management, supply purchasing, room reservation requests, transportation coordination, and overseeing general budget management.
  • Manages Lyft Program for all CSC programs through Hopkins Engage & Lyft platform.
  • Provides risk management support for Baltimore First and as needed for CSC programs.
  • Supports Budget Analyst as needed to process financial management transactions such as student timesheets, invoices, reimbursements, and honorariums.

Office Management & Administrative Support (30%):

  • Ensures smooth management of the day-to-day administrative operations of the Center including coordination with IT services, Events and Scheduling, Housing Facilities, catering, and other campus departments and vendors as needed to ensure general office and event maintenance.
  • Manages inventory of office supplies and places new orders as needed.
  • Supports management of the general email inbox and responds to inquiries in a timely manner.
  • Coordinates complex staff meetings (in-person and virtual via conferencing platforms); organizes meeting materials, agendas, and meeting minutes as needed.
  • Calendar management of the Executive Director and additional centralized department calendars such as parking pad, staff meetings, vacation, programming, office meeting rooms, etc.
  • Coordinates travel for CSC staff guests as needed.
  • Supports special projects and events as required.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED required.
  • Associate or Bachelor's Degree preferred.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*
  • Five years' experience providing administrative support to multiple supervisors and leaders.
  • Three years’ experience in event planning, logistics, or coordination desired. Experience in a professional setting providing office management and administrative assistance is preferred.

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

  • Demonstrates a strong team-orientated approach to coordinate events and provide logistical support with a diverse network of people.
  • Proficiency with Microsoft 365 and Acrobat Adobe
  • Experience with project and financial management platforms and customer relation management (CRM) systems.

Starting Salary Range: $40-50k (commensurate with experience)

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
