Job Description

The College of Arts and Science Dean’s Office is looking for and experienced Event Manager who can strategize, plan, and execute college level events.

The College of Arts and Science seeks an Events Manager to organize and execute college-wide events, both virtual and face-to-face. This position will represent the College and University by directing external and internal events from start to finish while being the point of contact for decisions. These events typically involve high-profile alumni and donors, faculty, students, staff, as well the public and can be small, large, public, private, in the local community and in locations across the country. Some examples of these events include lectures, receptions, commencement ceremonies, conferences, Summer Welcome, Arts & Science Week, along with a multitude of other event types. The ideal candidate will have strong planning skills with a high attention to detail. They will also need to communicate and collaborate effectively. A successful applicant will be able to work independently and be adaptable, effectively problem-solving issues that arise while planning and executing events. They will need to be forward thinking and strategic about the entire event process. Candidates must be visionary for the purpose and impact of events in the College of Arts & Science.

Job Duties

Develop, direct, negotiate, and execute plans for events and external relations hosted by the College of Arts and Science and its departments and programs. Responsibilities include all aspects of budgeting, production, resource allocation, coordination, organization, and beyond:
  • manage and execute all event logistics

  • supervise both an events coordinator and a student intern to support this role

  • consult with the dean, hosts, and constituents within the college on event plans and goals to ensure the success of ongoing and future events and external communications

  • research venues and negotiate/arrange contracts and obtain university approval for the contracts

  • communication between guests and speakers before and after events

  • create and manage invitation lists and provide direction for content and design

  • communicate with invited guests and maintain RSVPs; ensure that any special accommodations are met

  • develop a marketing plan for each event

  • maintain the budget and document expenses for any events and external relations

  • create itineraries for any guests along with travel and lodging arrangements

  • select menus and finalize catering (including liquor licenses if applicable)

  • gather and analyze data related to prioritize and evaluate events and their impact for future planning purposes

  • announce and process nominations for the College's annual alumni and service awards

  • collaborate with the Arts & Science Speaker's Bureau and liaison requests with speakers

  • process incoming credit card payments for the dean's office PCI (Payment Card Industry)

  • coordinate and manage the Arts and Science Alumni Organization events and funding by working with the Mizzou Alumni Association to maintain their policy guidelines.

Salary

Salary commensurate with education and experience.

Salary Range: $47,476 – $65,468 (annual)

Grade: GGS-010

Shift

Monday to Friday (8:00 am -5:00 pm)

Some working weekends and late evening working hours maybe required due to the nature of the job

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Bachelor's Degree with 5 years experience in related field.
