ATTENTION:

The University Housing Department at the University of Wisconsin-Whitewater seeks a Residential Services Coordinator (Administrative Specialist, AD006).

Academic staff positions are provided fixed term appointments with annual renewals unless otherwise noted. Reappointment for subsequent terms is dependent upon performance, university funding and external forces. One position is commensurate with continued grant funding.

JOB DETAILS:

This full time academic staff fixed term position will serve as supervisor and administrator of the following areas: Goodhue Hall Main Desk operation, University Housing Student Payroll, Hall Openings and closings, Guest Housing, Bike Lockers and will assist the Assistant Director - Residential Operations with Camps and Conference operations. When necessary will also serve as secondary support for the University Housing Room Assignments office.

QUALIFICATIONS:

Minimum Qualifications:
  • 5 years of administrative or programmatic support OR bachelor’s degree with 2 years related work experience
  • Ability to obtain Wisconsin Driver’s License and be driver authorized by the university
Knowledge, Skills and Abilities:
  • Strong oral and written communication skills
  • Ability to work collaboratively with students, staff and administrators
  • Ability to work with people from diverse, socioeconomic and cultural backgrounds
  • Skilled in using Microsoft Office, (ie: Word, Excel, Outlook Calendar and Powerpoint)
RESPONSIBILITIES:

1. Administer the student payroll for approximately 400 hourly and salaried students employed by University Housing.

2. Serve as department specialist in all student employment matters/procedures, including administering/verifying I-9 certifications and maintaining a Student Employee Manual for supervisors and employees in the department. In addition serve as main liaison for student employment for University Housing with Human Resources and maintain student payroll records for University Housing.

3. Oversight of Goodhue Main Desk Operation including hiring, training and supervision of the Goodhue Hall Main Reception Desk.

4. Oversight of Guest Housing operation, lock changes/key distribution, residence hall mail forwarding, Residence Hall Model Room and bike locker rental and key distribution/collection. In addition, serve as the main liaison with University Police with the joint Goodhue Desk/Police Desk operations.

5. Coordination of the Residence Halls Fall and Spring Openings including key distribution and the Drop Only program.

6. Will work with other campus partners to seek volunteers for opening day and serve as a main liaison with University Police in coordination aspects. In addition will assist in fall and spring closing aspects.

7. Provide administrative assistance/program support for summer Camps and Conferences operation including the transitions between summer and academic year.

8. Serve as the main assistant to the Assistant Director – Residential Operations in respect to Camp and Conference operations including preparation, staff training and program development.

9. Serve as a back-up resource for the Room Assignments area of University Housing with assistance as needed during peak administrative periods.
