Position Purpose

Serves as Executive Assistant to the Vice President for Alumni Relations developing presentations and remarks, overseeing projects, managing complex schedule, coordinating work across the Advancement division, engaging with alumni, and managing office operations. This position will be required to exercise considerable discretion and judgment in coordinating and responding to communications on behalf of the Vice President and coordinating, supporting, and developing projects, programs, and events. The role is critical in designing systems and processes to keep VP organized and effective in his/her work. This person must be comfortable in a fast-paced office environment and demonstrate a high degree of professionalism. The person must be highly organized and able to act independently.

* Bachelor’s degree required plus five plus years of administrative experience in an academic or corporate environment
* Excellent written communication skills
* Excellent interpersonal skills and demonstrated success in working with top internal management, alumni, and volunteers
* Demonstrated experience in handling multiple issues in a complex and dynamic work environment
* Demonstrated success working in a large and/or complex environment where collaboration with multiple stakeholders and flexibility essential
* Demonstrated creative planning, organizational and problem-solving skills
* Ability to set priorities and meet deadlines; able to respond to changes in priorities and can multi-task
* Ability to initiate, plan and direct short and long-term projects
* Ability to lead, manage and function autonomously
* Ability to anticipate and take initiative
* Must be able to exhibit good judgment, discretion, and confidentiality
* Proofreading, editing skills and excellent attention to detail
* Ability to be perceptive and responsive to direction set forth from leadership
* Team player, reliable and flexible
* Able and willing to learn new software as needed. Highly proficient with computer applications, preferably MS Office Suite (Outlook, Word, Excel, PowerPoint, and database systems

Key Accountabilities

Description

Oversees the management of the Vice President’s daily appointment calendar; assures reasonable agendas and expectations have been set and that the Vice President is prepped for meetings and events. Assists with plans and arrangements for meetings, events, presentations, and significant travel and resolves any calendar conflicts. Briefs the Vice President on changes in schedules and priorities in a timely manner. Supervises accurate record of trip itineraries and ensures business expense reimbursements are completed in a timely manner.

Description

Partners with the Vice President on critical office functions and daily operations to support the work of Alumni Relations and participates on multiple teams. Represents the Vice President to internal and external constituents in a professional manner and serves as the primary office contact for individuals seeking contact with the Vice President. Conveys key issues, concerns, and time sensitive information to the Vice President for appropriate attention and action. Anticipates and recognizes problems and/or issues and brings them to the attention of appropriate staff members. Supports the development and management of the department’s budget. Develops, implements, and modifies office systems and administrative policies and procedures in support of the division and individual activities and responsibilities.

Description

Supports work of the Vice President and Senior Director of Volunteer Engagement in facilitating relationships with alumni, volunteers, campus partners, Advancement colleagues, and external constituents. Previews and tracks correspondences from alumni, faculty, students, and campus partners obtains relevant background information to assist in crafting responses. Exercises considerable independent judgment in responding to requests for information by email or phone, replying for the Vice President as needed in a professional manner, and involving others within Advancement when required. Coordinates arrangements for mailings or other communications from the Vice President’s office. Prepares presentations, correspondence, memos, and reports for Vice President and others. Manages drafting and distribution of alumni condolence letters. Able to use various office and cloud software to support VP and work efficiently in the Dartmouth environment.
