Academic Personnel/Administrative Assistant
Salary Range: $28.73- $37.36/hour

Under general direction, manage departmental academic personnel activities for approximately 30 faculty and resident positions including recruitment and merit/promotion/appraisal activities. Provide high level analytical and administrative support to CAHFS Administration Office. Responsible for departmental communications, reports, newsletters, website content and promotional materials. Provide reception, scheduling, travel, and purchasing assistance; facilitate visas for department’s foreign nationals; serve as Davis laboratory space and conference room coordinator
QUALIFICATIONS
Required:
• Experience composing, proofreading and editing documents and correspondence for accuracy, consistency of format and grammar, and professional appearance and style to produce written reports, correspondence, and promotional materials.
• Experience working in a highly-confidential environment including maintaining confidentiality of Administration Office and/or Human Resources activities and records, and exercising a high degree of discretion, integrity, and sensitivity to confidentiality and privacy.
• Experience independently managing projects and multiple tasks including planning and coordinating assignments, adapting to changing priorities, meeting deadlines and maintaining a high level of productivity and efficiency.
• Experience using standard business software applications including word processing, spreadsheets, email, and calendaring software and skills to obtain proficiency in Zoom, MS Project, MS Visio, Adobe Photoshop, Adobe InDesign, and web-based publishing software.
• Knowledge of academic personnel processes and experience interpreting and applying personnel policy and procedures in a higher education setting.
• Demonstrated strong interpersonal skills and political acumen to effectively interact with a wide variety of individuals, to include co-workers, clients, board members, and individuals from other University units, government/outside agencies.
• Oral and written communication skills to clearly and concisely communicate and present complex information while maintaining confidentiality and using good judgement and diplomacy.
Preferred:
• Knowledge of and experience with campus systems, including MyInfoVault, APHID, KFS DS, AggieService, and AggieTravel. Knowledge of UCD Academic Personnel Manual.
• Knowledge of laws and regulations surrounding and experience facilitating visas for foreign national hires (J-1, H-1, and permanent residency).
