Position Overview:

The Executive Assistant to the President of the UC Enterprise (PoE) is responsible for the overall operation of the office of the PoE. This position provides calendar, budget, and other logistical support of the PoE. This may include analysis, research, preparation, and editing of a variety of reports and presentations.

Key Responsibilities:
  • Creates and maintains interrelated administrative, confidential and legal filing systems and records, including, but not limited to, historical and legal record, the PoE correspondence, personnel records, and records of faculty, employee, student, and vendor correspondence.
  • Maintains confidentiality and exercises discretion with private or sensitive information.
  • Assists with, and, oversees the budget activities of the office; monitors expenditures of funds, initiates fund transfers and other procedures necessary to maintain daily budget activities. Reconciles spending activities with the business office to the general ledger, credit card statements, gifts, etc.
  • Performs a wide range of advanced clerical duties related to the operation of the office; serves as liaison between the PoE and other executives of the College; serves in a liaison and/or resource capacity on projects and assignments, including contract management with external vendors.
  • Screens incoming calls and visitors, referring them to the PoE, or other appropriate staff, providing information as appropriate, or taking accurate and complete messages. Provides liaison functions between the PoE and staff at all levels, and members of the public who contact the offices with service complaints.
  • Schedules meetings and conferences, sets up appointments and handles travel logistics. May represent the PoE at meetings to obtain information relevant to the President of the UC Enterprises responsibilities.
  • Opens and routes mail as appropriate.
  • Serves as resource to other offices for information, policy and practice orientation, and general file materials.
  • Takes minutes at meetings called by the PoE.
  • Oversees projects, events, various functions, and related procedures developed by the offices of the PoE.
  • Provides support for the management of external grants awarded to faculty.
  • Manages work-study student employees as assigned.
  • Understands, explains, and enthusiastically supports the College's environmental mission when engaging internal and external constituencies.
  • Pro-actively communicate challenges, successes, and failures with leadership.
  • Other duties as assigned.
Required:
  • Associate's degree in a field that requires a high level of verbal, written, and media literacy from an accredited college or university and four (4) years of experience in performing professional- level work in the field.
  • Acceptable is an equivalent combination of education and qualifying professional experience that would provide the skills, knowledge, and ability needed to fulfill the duties assigned to the position. High school diploma/GED required.
  • Must have good oral communication skills.
  • Proficiency with databases, word processing, email, and spreadsheet software.
  • Proficiency with budget management and basic research methods and techniques.
  • Ability to work harmoniously with members of the college community.
  • Ability to demonstrate initiative, make sound decisions, budget time, focus on details, and complete tasks on time while functioning in multiple capacities.
  • Ability to adapt to new ideas and circumstances.
  • Knowledge of office operations including filing, clerical support, and accurate record keeping.
  • Ability to effectively present information and respond to questions from the College community and managers.
  • Exercises good judgment and discretion analyzing and resolving confidential, difficult and sensitive situations.
  • Exercises sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of Unity Colleges' students, faculty, staff and community.
  • Ability to function effectively within a matrix organizational structure, maintaining open lines of communication while being discreet, courteous and well poised.

Work Schedule / Availability Requirements

Work hours are specific to the requirements of this position and can include days, evenings, and weekends. Working extended hours required as needed. Must be flexible and cooperative in fulfilling responsibilities and meeting the Colleges needs. Although Unity College employees are generally scheduled to work at their specifically assigned locations, there are times when travel is necessary and employees are required from time to time to attend events, meetings or work temporary assignment at any Unity College location.

Physical Demands

While performing the duties of this job, it is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, grasping and turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications.

Location: Pineland Farms, New Gloucester, Maine
