Administrative Assistant, Marketing & Communications (Part-time)

Job Summary:
Provides office management supports to the Marketing & Communications department. Duties include assisting with the planning, executing, and tracking of marketing initiatives including print, digital, email, social media, and content marketing.

Essential Functions:
  1. Manages invoice payment processes including creating purchase orders, invoice auditing and submission for payment, and resolves non-payment and billing error issues.
  2. Assists in scheduling for marketing-related videos, interviews, photo shoots, and other content.
  3. Coordinates with department and other college offices on marketing requests, status of tasks and ensuring compliance with established deadlines.
  4. Assists in ordering promotional materials, monitoring orders for compliance with college brand guides, tracking invoices, and organizing and monitoring supplies.
  5. Provides general office support including the scheduling of meetings and manages office supplies and equipment including adequate inventory levels and maintenance issues.
  6. Assists in resolving department problems by helping to identify solutions.


Other Duties:
  1. Manages college online calendar, reviewing entries for completeness, grammar and adherence to college brand and style guides.
  2. Performs basic updates to the website using the content management system.
  3. Monitors campaign analytics and assembles regular and on-demand reports.
  4. Performs other duties as assigned.




Accountabilities:
Under the general supervision of the Executive Director, Marketing & Communications. May help supervise student workers.

Job Specifications:
Associate degree preferred. Two to four years of experience in office management required. Word processing, spreadsheet, and professional telephone skills required. Banner experience preferred. Strong editing and proofreading skills a must. Confidentiality and professionalism are required.
