As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Office Manager for our College of Arts and Sciences. The Office Manager will promote our Catholic Franciscan mission and identity by providing administrative and clerical support to the Dean, faculty, and adjunct faculty of the College of Arts and Sciences. We are seeking applicants who are detailed-oriented, accurate, and adheres to the strictest confidentiality regarding data and information.

 

Duties and Responsibilities: 

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Supervise administrative assistants in the College of Arts and Sciences and distribute college-wide work to other assistants as needed.
  • Manage and process all university paperwork with regards to College faculty/staff.
  • Manage new faculty hiring process.
  • Prepare and maintain contracts and files for adjunct faculty.
  • Create program materials such as awards and leaflets for events in the College of Arts and Sciences.
  • Oversee and assist with occasional event planning for special groups.
  • Provide support for department and programs in math and science.
  • Serve on the Undergraduate Research Committee and assist with planning details.
  • Support faculty with the planning of the annual Science Fair.
  • Coordinate all aspects of office mailings, including mass mailings.
  • Generate correspondence to and from the College of Arts and Sciences.
  • Maintain an accurate budget for the College of Arts and Sciences.
  • Maintain data for the departments as needed.
  • Answers telephones and takes messages.
  • Schedules appointments, committee meetings, and faculty meetings for the college.
  • Maintains office files.
  • Order and manage office supplies and marketing products for the college.
  • Manage all documents requiring Dean’s approval.
  • Perform all other duties as assigned.

 

Required Qualifications:

  • High school diploma or general education degree (GED) required. Bachelor’s degree in an Arts and Sciences field preferred.
  • Five or more years of related experience (preferably in higher education) and/or training or equivalent combination of education and experience.
  • Ability to write, analyze and interpret financial reports, and legal documents and utilize this information in planning processes
  • Ability to define problems, collect data, establish facts, and draw valid conclusions/findings into strategic and tactical plans.
  • Excellent communication skills (verbal and written).
  • Ability to connect with a multitude of audience.
  • Project and event management experience.
  • Strong initiative and critical-thinking skills.
  • Solid flow-through with all constituents.
  • Commitment to customer service.
  • The ability to multi-task, problem solve, and meet deadlines.
  • Thrive in a fast-paced environment.
  • Fluency with technology and experience with Microsoft products introducing Word and Excel.
  • Desire and willingness to learn new technology platforms and systems.
