Sr. Student Account Representative

Job Description Summary:
Acts as a primary contact for students, parents, university personnel and other involved parties
concerning student accounts. Advises students regarding their payment options and financial policies. This position is responsible for billing and invoicing of third party agencies on behalf of students whose tuition and fees are paid by a corporation, non-profit agency, military agency, or the international embassy. This position takes the lead in coordinating retention efforts for students who have not registered for the upcoming term.

Specific Duties:
  • Disseminate financial aid information to all student populations. This includes providing information on the various grant and loan programs as well as counseling students on debt management and repayment obligations. Must also be able to calculate the amount due at registration which includes taking into consideration financial aid to determine the appropriate down payment and payment plan as dictated by University Policy.



  • Responsible for managing past due accounts in an effort to reduce overall accounts receivables by communicating to students while still in attendance. For students no longer in attendance, review aging report and begin the pre-collection process. Pre-collection consists of generating letters, emails and phone calls. Speak with students regarding payment options and if necessary forward the account to Collections.

  • Responsible for billing and invoicing third party agencies on behalf of students whose tuition and fees are paid by a corporation, non-profit agency, military agency, or the international embassy. Has the primary responsibility for maintaining successful relationships with these third parties and is responsible for improving processes and ensuring excellent customer service to all parties involved.

  • The representative is responsible for reviewing all third party billing agreements for specific guidelines/stipulations, performing accurate tracking and billing and maintaining auditable records. The representative needs to take into consideration a student’s registration status, financial aid awards and the University’s financial policies and procedures when working with third party agencies.

  • Work with our tuition remission students, ensuring timeliness of funding and follow up.

  • Participate in student orientations, informational meetings and training sessions. Some evening and weekend hours are required. Represent the Office of Student Accounts as a speaker and provide important information about payment options, financial counseling services, important dates, refunds and book authorizations.

  • Participates as a member of various committees such as TUG and GRAD appeals

  • Works with the academically reinstated students and those who are not making satisfactory progress and have lost their financial aid eligibility.

  • Assist staff with questions regarding policy and daily decisions as it pertains to student account, in the absence of supervisor. Has the authority to establish payment plans for students with special circumstances.

  • Create and run reports to assist the office in billing, aging, retention and payment processing.

  • Perform cashiering duties as needed.

  • Duties include the receipt of and posting of payments, charges and balancing out at the end of the day

  • Other duties as assigned.

  • Other: Occasional weekends and late evening required


Minimum Qualifications:
  • Bachelors degree, with 3+ years in higher education, student accounts, financial aid, customer service experience
