Records Processor (CL-4)

Job Summary:

Provide technical support to the department by filling requests, verifying student status, processing applications and managing general data input.

Minimum Qualifications:

High School Graduate, 1-3 years progressively responsible secretarial/clerical work or any combination of training, experience and education sufficient to indicate an ability to do the work.

Essential Functions:

Receive, enter and update transcript requests and name/address changes, and related materials from various sources.

Utilize multiple computer programs to import and export data files, generate reports, and mailings, and print applications and related materials.

Answer telephone inquiries.

Uphold data integrity, proofread and sort.

Troubleshoot issues or problems pertaining to student records, transcript requests or the technical aspects of data processing.

File records, forms, and other necessary information. Scan and index to electronic database.

Consistently demonstrate courtesy, tact, professionalism and the ability to handle difficult people. Perform other job-related duties as required

Preferred Qualifications:

Demonstrate the ability to process routine forms and records quickly and accurately, using multiple programs, and investigate and resolve problems such as missing or inaccurate data. Demonstrate attention to detail.

Demonstrate general computer proficiency with Microsoft Office Suite. Experience with Banner, Argos, and BDM highly preferred. Consistently demonstrates speed and accuracy and ability to operate data management software with no guidance.

Consistently demonstrates ability to reference operational procedures within department on routine matters and select suitable response with minimal guidance

Consistently demonstrates courtesy, tact and professionalism, as well as sensitivity to the concerns or interests of others in conveying information. Demonstrates patience and the ability to handle difficult people

The Registrar’s Office is responsible for the accuracy, integrity, and security of the education records under the Family Educational Rights and Privacy Act (FERPA). Our mission is to provide timely and accurate information to students and faculty regarding these records and to support the instructional activities of the college.
