Job Summary

The Center for African & African American Studies (CAAAS) encourages applicants for the Program Manager position! This position leads the CAAAS office and supports the center’s efforts to be the focal point for Black community and culture at the University of Colorado Boulder. The CAAAS is a multipurpose space where scholars, students, artists, activists, and allies come together to study Africa, African Americans, and the African diaspora. This interdisciplinary center is led by the CAAAS Faculty Director with oversight by the Dean of the Graduate School and guided by an external Advisory Board.

The Program Manager is responsible for maintaining the daily operations of the center by providing fiscal and administrative support, coordinating workstudy and hourly student appointments, supervising student employees, and managing scholarship and fellowship awards. This position also contributes greatly to the growth and development of the center by assisting the Faculty Director and Associate Director with program activities, event coordination, and policy decisions. This is a full-time position working in a hybrid mode that includes both on-campus and remote work based on business needs.

What Your Key Responsibilities Will Be

Operations Management
  • Serve as the first point of contact for questions and concerns from faculty, staff, students, community partners and visitors.
  • Direct the flow of information and anticipate programmatic needs/directions to forecast required needs and propose solutions.
  • Coordinate the center's office and reception desk, including maintaining office supplies and equipment and managing subscriptions and memberships.
  • Hire, train, supervise and mentor student employees.
  • Assist Faculty Director and Associate Director with scheduling and managing their calendars.
  • Support the Advisory Board's work, including scheduling meetings, preparing and distributing forms and information packets, taking meeting minutes, and carrying out decisions.
  • Implement internal processes and procedures to ensure that the center runs smoothly and efficiently.
  • Serve as the center’s primary liaison to campus service units, including but not limited to Parking & Transportation Services, Facilities Management and Office of Information Technology.
Programming
  • In partnership with the Faculty Director and Associate Director, ensure successful implementation and completion of program activities, such as student services, fellowships & scholarships, faculty research support, faculty awards, certificate development, and fundraising and community outreach.
  • Facilitate CAAAS events, including scheduling, arranging travel, reserving spaces, catering, renting equipment, preparing publications and advertising, etc.
  • Coordinate with the Graduate School to establish contracts with outside speakers, visiting scholars/artists, and suppliers.
  • Assist the Associate Director with maintaining the center’s website, social media, list serves, and other communications as advised.
  • Collaborate with the Faculty Director and Associate Director in developing and implementing policy decisions and programming initiatives.
Finance and Administration Support
  • Monitor the CAAAS’s budget and financial position to manage daily financial activities in a manner consistent with fiscal policies, procurement procedures, and donor intent.
  • Assist the Faculty Director with managing spending, including making recommendations for distribution of available funds to meet the center's goals and mission.
  • Provide oversight for procurement and travel working closely with the VCAA Financial Service Center (FSC) to process expense reports, reimbursements, honorarium payments, purchase orders, and other purchasing forms.
  • Assist the Associate Director with training and mentoring undergraduate and graduate student workers, and monitoring payroll.
  • Provide financial, HR and other administrative support to CAAAS leadership and the Graduate School to assist in planning and budgeting for the center.
Grant Writing Support
  • Provide administrative support to the Faculty Director in pursuing grants and submitting proposals on behalf of the CAAAS.
  • Participate in grant writing workshops and trainings to increase knowledge of available grants and skills in grant submission protocols.
What You Should Know
  • This position is predominantly in-person but certain tasks may be done remotely.

What We Can Offer

$53,000-$60,000

What We Require
  • Bachelor’s Degree.
  • A minimum of one year of experience with program management, finance and/or HR management in higher education.
What You Will Need
  • Excellent verbal and written communication skills.
  • Ability to work both independently as well as on a team.
  • Strong attention to detail and accuracy.
  • Strong interpersonal and customer service skills.
What We Would Like You To Have
  • Previous experience working in an administrative support position in diversity, equity, and inclusion, student services and/or cultural programming within a non-profit, university, state, or federal, entity.
  • Experience or training in grant writing and proposal submissions.
  • Demonstrated knowledge of university, state, and federal rules on financial activity.
  • Experience using Peoplesoft HCM and/or Finance and/or Cognos.
