The Program Coordinator is a member of the College Life Division. The position supports two areas of the Division, the Office of International Student Services and Religious and Spiritual Life. The coordinator will advise and mentor students as the initial contact person students will seek for guidance and support. The coordinator needs to be highly-motivated and manage details with expertise and professionalism. The coordinator must establish professional relationships with Office staff, student workers, advisors to student groups, and other offices, faculty, and staff on campus. As a Designated School Official (DSO), the coordinator will need to work with the Department of Homeland Security’s SEVIS system. The coordinator will also support interfaith programming efforts coordinated by a team of advisors including the Director/Chaplain, Catholic Campus Minister, Hillel Director, and Muslim Student Advisor. The coordinator will serve as the primary administrative support person to both the Office of International Student Services and Religious and Spiritual Life.

Essential Functions:

 

Program Support for the International Student Services and Religious & Spiritual Life:

 

  • Serve as the main programmatic assistant for RSL and ISS programs, including pre-orientation, orientation, outreach events, travel programs, and fund-raising initiatives. newsletters, social media posts, presentations, reports, and other communications.
  • Advise students on basic immigration regulations.
  • Serve as a tax liaison for students with the IRS and our non-resident tax software partner Sprintax.
  • Assist with first-year international student arrival, transportation and orientation planning.
  • Serve as representative on campus committees as assigned.
  • Organize student programming and worship services including scheduling, food, and entertainment.
  • Assist with recruiting, training, and coordinating student participants for Baccalaureate each year.
  • Assist with the promotion of events including web and social media.
  • Process all financial details: student payroll, deposit of offerings, payment of office bills, honoraria for guest speakers and musicians, etc.
  • Keep accurate records of the office budgets and reconcile monthly with General Ledger accounts.
  • Reconcile department Purchasing Cards records in a timely manner.

    Supervisory Responsibilities: Oversight of student workers.
  • Attend supervisor training sessions on job postings and federal requirements, post open positions in Handshake, and send student assistants to required trainings from Student Employment Services
  • Supervise and train student workers in office procedures, reception, and computing support for office functions in both offices.
  • Maintain and supervise payroll for student workers and guest speakers.

 

Supervisory Responsibilities: Oversight of student workers.

 

Qualifications

 

  • High school diploma or equivalency is required; bachelor’s degree and at least two to three years of administrative experience is preferred.
  • Previous experience working with international students is preferred.
  • Experience in campus or ecclesiastical ministry is preferred.
  • The ideal candidate will have experience and passion for working with diverse and underrepresented student populations.
  • Must be a US Citizen or Permanent Resident.
