Summary:

The Events & Experiences Manager will work in collaboration with other members of the team to coordinate the event services necessary for the successful production of events hosted or sponsored by the Institute for Experiential AI. The Events & Experiences Manager will independently manage the planning and logistics of various in-person, hybrid, and virtual events, including:
  • On-campus events, conferences, and panels at the Boston and Portland campuses
  • Virtual and hybrid events, such as the EAI Seminar Series
  • EAI membership events hosted in Boston and Portland
  • Participation of EAI faculty and staff in relevant industry and academic conferences


The Events & Experiences Manager is responsible for ensuring that the multitude of details and mechanics required to execute high-quality special events are flawlessly orchestrated from start to finish. The Events & Experiences Manager must also demonstrate the ability to work in a fast-paced, entrepreneurial environment and possess high levels of customer service and professionalism, particularly in stressful situations. They must be available for occasional evening/weekend hours and able to travel as needed for events.

Responsibilities:
  • Identifying and securing event space for in-person and hybrid events.
  • Identifying, negotiating with, and hiring third-party service providers (i.e. A/V equipment, F&B, guest speakers, etc.) for in-person and hybrid events; ensuring that equipment is setup and working before the event.
  • Working with caterers and other food and beverage providers to seek bids and develop appropriate menus and service plans for in-person and hybrid events.
  • Hosting virtual events using Zoom and/or Microsoft Teams, moderating audience engagement during virtual events.
  • Working with marketing to strategize event promotion and using platforms such as Meetup to attract the right audience.
  • Coordinating programming elements with other groups at the EAI.
  • Maintaining guest lists; managing event mailings and communications.
  • Post-event reporting on attendance, cost and overall success (post-mortem) and sharing learnings with our social media and marketing teams.
  • Identifying relevant external events and coordinating EAI participation; may entail pursuing speaking or sponsorship opportunities, working with marketing and business development for maximum exposure and benefit, and coordinating logistics of attendance.


MINIMUM QUALIFICATIONS
  • Bachelor's degree and at least 4-6 years of event coordination or event management experience required.
  • Excellent communication skills representing the EAI with third-party conference organizers and at EAI events.
  • Strong organizational and communication skills, both verbal and written.
  • Ability to communicate effectively across various teams in academia and industry.
  • Must be extremely detail-oriented, able to work independently, and prioritize work to meet high quality expectations and deadlines.
  • Must have demonstrated an ability to multitask and manage multiple projects and work assignments from various levels of university administration and volunteers.
  • Demonstrated project management and budget management capabilities.
  • Must demonstrate the ability to work in a fast-paced environment and possess high levels of customer service and professionalism, particularly in stressful situations.
  • Must be available for evening/weekend hours and able to travel as needed.
  • Competence with Zoom, Microsoft Teams, and Microsoft Office (including Word, Excel, Outlook and PowerPoint).
  • Entrepreneurial mind-set with an ability to navigate complex structures and processes.
  • Excellent judgement and attention to detail.
