Position Summary and Responsibilities
Vassar College's office of the Vice President for Technology and Human Resources oversees the Computing and Information Services (CIS), Human Resources (HR), and Title IX/EOAA operating units. The Business Operations Manager supports the activities of the VP's office and reports to the Associate Director of Business Services. This position interacts regularly with the VP, leadership teams of CIS, HR, Title IX/EOAA and a variety of academic and administrative departments, including Finance & Administration, Accounting Services, Procurement, and Facilities & Operations.
The Business Operations Manager administers and manages the business affairs of the multiple units that comprise the office with responsibilities to include: contract lifecycle management; defining and facilitating departmental procurement processes; budget and forecast support; vendor management; facilities/space management; and working to define standard operating procedures that align with and advance college procedures and requirements.

Position Responsibilities
  • Manage the administration of the office's contract lifecycle management software, to include but not limited to: file management, user training, document processing, reporting, and vendor communication.
  • Manage, coordinate, and monitor procurement transactions and other expenditures, ensuring they are posted to proper accounts and reconciled accurately.
  • Manage issues associated with the office's facilities, ensuring that space is maintained and configured so as to support efficient and continuous operation of the office's staff and the services they provide.
  • Manage intra-department communications; support technology communication and outreach initiatives that serve to educate, enhance collaboration, and develop trust throughout the Vassar community.
  • Support the annual budget planning process and periodic financial reporting; establish a working understanding of the financial reports managed by the office to provide support and back-up.
  • Support the annual processing of software, hardware, and other service-related agreements, following best practices and communicating results.
  • Support the administration of the office's strategic plans, to include but not limited to: preparing progress reports on initiative completion and success measures and summarizing information for board reports.
  • Support programs within CIS to help develop employee skills, increase engagement, and promote development opportunities.
  • Develop and formalize the process surrounding vendor consultation and management, including educating and supporting service owners throughout the Vassar community with their respective technology vendor relationships.
  • Assess and improve the business processes associated with management of the office's own finances, inventory, contracts, purchases, and other processes as needed.
  • Provide overall office management support and hire, train, and supervise student workers in performing general office duties.
  • Plan and execute department meetings and other gatherings.
  • Other responsibilities as assigned.


Qualifications
  • Bachelor’s degree and five years of related experience, or an equivalent combination of education and experience. Prior work experience in a College or University setting preferred.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint); experience with Google Apps for Education (Calendar, Docs, Sheets, Mail), contract lifecycle management software, Adobe Acrobat and Enterprise Business Systems (e.g., Workday).
  • Strong interpersonal and written communication skills; ability to present concepts and processes to diverse groups of stakeholders, including technical managers and financial partners.
  • Ability to navigate complexity that may arise in business processes and relationships, deliver on commitments, work effectively and collaboratively on teams, establish and manage procedures and processes, and pay close attention to both financial and other relevant details.
  • Proactive, resourceful, and able to manage multiple priorities.
  • Operates with the utmost integrity, diplomacy, and confidentiality.


Preferred Qualifications
  • Master’s degree in business, information systems, or other related field; personnel management experience
