Job Description

First point of contact for clinics supported by the Department of Physical Therapy. This position will be a scheduler for the Physical Therapy department. This position is front line staff and duties include, customer service, scheduling patients, arriving patients, arranging return visits, building schedules, updating patient information, confirming insurance, ordering charts, new patient chart prep, posting payments, working with patients, families and/or staff in handling and resolving problems that may occur during the course of a visit. Additionally, this position will assist department faculty on various projects/task in support of their teaching and research duties.

Job Responsibilities
  • Scheduling and registration of patients and handling day to day operations for multiple clinics with each clinic having its own process and following separate policies and procedures. Answering phones and providing customer service for multiple clinics simultaneously.
  • Oversee clinic documentation in billable clinic such as pre-certification, prior authorization, Medicare tracking, plans of care, referrals, accurately manage copay collections, prepare accurate billing, effectively utilize computer applications such as Cerner, etc.
  • Oversee clinic documentation in Pro Bono clinic, such as referrals, patient registration, managing arrivals, medical record requests, effectively utilize computer applications including building and maintaining access database.
  • Create and maintain waiting list for clinics. Prepare correspondence to send to physicians regarding the status of their patients in regards to our waiting list.
  • Conduct department surveys, data collection, and data entry for clinic and research activities. This could include activities such as distributing and compiling results from PhysZOU clinical instructor feedback surveys, critical thinking research data collection, entry and de-identification, and data entry from other research data collection forms.
  • Maintain calendar for clinic space working with teaching faculty, research faculty and therapists to reserve space and ensure that it does not get double booked for labs, research projects and patients. Problem solve space issues and help find other solutions when multiple groups need to use gym space.
  • Help plan, coordinate, and execute special events and projects; serve as a liaison to the central staff.
  • Other duties as assigned.
Salary

Salary Range: $15.29 - $26.11 per hour
Grade: GGS 007

Shift

Monday – Friday
8:00am – 5:00pm
Shift may vary depending on clinic needs/hours and will be agreed upon based on discussion between employee and supervisor.

Minimum Qualifications

An Associate’s degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Experience in health care and medical terminology is preferred.
