The Integrative Physiology and Athletic Training (IPAT) invites applications for a Program Coordinato r II to join their team. This position serves as a liaison for the School of Integrative Physiology and Athletic Training (IPAT), representing the school in a wide variety of local, state, regional, and national venues. This position serves in a key leadership role in IPAT and college level projects/programs, and is the lead for departmental communications. This work involves performing the administrative operations for the school, collaborating with other University of Montana (UM) colleges and departments, and determining which information to disseminate to the public or other departments. This position is responsible for providing relevant data and trends (historical and current) to management and participating in strategic administrative decisions and short/long term planning. The Program Coordinator will be tasked with preparing of all aspects of IPAT correspondence and documents (including proofreading, formatting, fact checking, and posting), as well as maintaining all support materials, file copies, and electronic document catalogs.

The Program Coordinator II will be responsible for organizing all IPAT events and conferences (including budget tracking), and serving as the point-person for customer service related to these events. The Program Coordinator must also be effective at planning/goal setting, researching and analyzing information, producing reports and present to various audiences, and making recommendations to management. This position is responsible for supporting fiscal affairs, budget planning and budget oversight, making recommendations on budget strategy, consulting with fiscal offices during budget development, and administering fiscal indexes in state-funded and designated indexes and foundation accounts.

The Program Coordinator II will coordinate, implement, and enhance IPAT’s interaction and public persona with current and future undergraduate students. This includes development of the school’s assessment plan, development and maintenance of an assessment database, analysis of data, and presentation of data trends. This position will develop and oversee the marketing and training of personnel assisting the school. This position assists IPAT’s academic advising program, with an introductory advising role for current, incoming, and transfer students. This position handles administrative travel, purchasing, and student hiring. Additionally, the Program Coordinator will develop and organize fundraising events while being the primary alumni contact. This position is oversees the development, upkeep and proactive engagement in areas of recruitment, retention, scholarship development, alumni relations, academic standards through IPAT’s website and social media outlets.

The Program Coordinator II supervises multiple student employees working in the office. This role also supervises undergraduate students and volunteers for related events, as well as actively facilitates the activity of undergraduate student groups. Additionally, this position will assist in the development and supervision of the Peer Advising program. The Program Coordinator will be the primary contact for student hiring and payroll paperwork as well as longitudinal student tracking using a database.

Following a reasonable training period, the incumbent will have working knowledge of the UM catalog, IPAT programs of study, and campus wide advising policy and procedure, academic petitions, and graduation paperwork. This position requires the person assigned to develop and maintain a working knowledge of Banner, knowledge of UM accounting and budgeting procedures, familiarity with UM event planning, travel, and procurement procedures, and familiarity with the UM student hiring process.

Required Skills
  • Excellent interpersonal communications, public relations, and organizational skills.
  • Excellent understanding of University of Montana financial policies and procedures for purchasing and procurement.
  • Knowledge of the formulation of contracts and payment methods to university employees and adjunct personnel.
  • Knowledge of best practice accounting and budgeting, including strong fiscal management skills.
  • Excellent computer skills including use of databases, spreadsheets, and programs such as UMDW, Microsoft Excel, Publisher, Outlook, and Banner. Strong knowledge of professional office practices including office equipment: printers, copiers, fax machine, scanner, multi-line phone system.
  • Ability to manage multiple simultaneous tasks.
  • Demonstrate interpersonal, public relations, social media platform, and communications skills including the ability to work with a diverse group of individuals and conflict management.
  • Ability to plan, organize, assist with IPAT-related social media platforms, and market IPAT and College wide events.
Minimum Required Experience
  • Bachelor's Degree or Associate’s Degree, or equivalent combination of education and experience.
Preferred Qualifications
  • Experience with marketing and database uses.
  • Bachelor's Degree in Science, Health, Human Performance, Exercise Science, or a related field.

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $16.25/hr - Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Probationary Period: Six months minimum
